Position Summary

Brief Description of PSU/School/Dept The Institute on Aging (IOA) is a multidisciplinary unit within the College of Urban and Public Affairs. Research, training and community services relevant to aging and older adults are planned, implemented and facilitated at the Institute. The faculty and staff consist of several full- and part-time faculty members, and other academically-appointed research staff and graduate students working on time-limited grant projects. The IOA is a major resource to local, state and national organizations and coordinates numerous other gerontology-related activities within the community. The IOA conducts applied health and social research, manages the Senior Adult Learning Center, and is home to the Better with Age Initiative and the Oregon Center for Excellence for Behavioral Health and Aging.

Position Summary The Office Coordinator position will primarily provide administrative support to the Director of the Institute on Aging (IOA) to facilitate the activities of the IOA and its faculty, staff, and students.

FTE is .5 (20 hours per week). The position may be renewed beyond 10/15/25, contingent upon funding.
Minimum Qualifications from Classification Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
An Associate’s degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology AND one year of general clerical experience.

Note:
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
Additional Minimum Qualifications for this Position
  • Knowledge of and experience with PSU systems such as: Slate, Datamaster, Handshake, ePSU Marketplace, OnBase, and Banweb, or equivalent systems.

  • High level of skill in using standard office management programs: Microsoft office suite, especially Excel, Google Drive, Office Explorer, Zoom, and electronic calendars and scheduling systems.

Preferred Qualifications
  • General understanding of IOA research activities to track and report new grant, contract, philanthropic, or fee-for-service opportunities; maintain web presence and social media; and submit updates and achievements to PSU Currently and for IOA-related newsletters.

  • Ability to assist with proposal development such as organizing documentation, managing timelines, and facilitating information gathering for budget development.

Work Days/Hours In person on Tuesdays and one other day of the candidate's choice; expectation is for scheduled hours Monday-Thursday (20 hours per week)
Total Compensation Range & Benefits Statement The starting salary rate for this position will be between $17. 59 and $19.68 per hour, dependent upon qualifications and experience with an excellent benefits package including healthcare; a generous retirement and vacation package; and reduced tuition rates for employee, spouse or dependent at any of the Oregon University System schools.

This position is .50 FTE (20 hours per week). There is a potential for additional hours on an as needed basis for time limited projects. Classified employees working over half time( 50 FTE) but less than .75 FTE, are eligible for benefits, but share the premium cost prorated based on hours worked. Vacation, sick, and personal leave accrue on a prorated basis.
