The Accounts Payable (AP) Staff Accountant is responsible for day-to-day operations of the accounts payable function, ensuring the accurate and timely processing of invoices, payment processing, and maintaining relationships with vendors. Additionally, this role includes responsibilities related to the accounting and management of fixed assets, ensuring accurate recording, tracking, and reporting of all company-owned assets.
Key Responsibilities:
Invoice Processing:
Review and verify AP invoices before data entry.
Sort, code, and match invoices to purchase orders and receipts.
Set invoices up for payment.
Payment Processing:
Ensure timely and accurate payment of all vendor invoices.
Reconcile accounts payable transactions.
Monitor accounts to ensure payments are up to date.
Assist with bi-weekly payment runs.
Vendor Relations:
Resolve invoice discrepancies and issues.
Respond to vendor inquiries and maintain vendor files.
Communicate effectively with internal departments and external vendors.
Accounting Duties:
Assist in month-end and year-end closing.
Prepare analysis of accounts as needed.
Maintain accurate historical records.
Assist with annual CPA requests by providing necessary documentation and information.
Fixed Assets:
Asset Management: Maintain the fixed asset ledger, including the accurate recording of asset acquisitions, disposals, transfers, and adjustments. Prepare analysis of accounts as needed.
Compliance and Control:
Ensure compliance with internal controls, company policies, and accounting standards.
Recommend and implement improvements to processes and procedures.
Reporting:
Generate and analyze AP reports to monitor expenses.
Qualifications:
Education: Bachelor's degree in Accounting, Finance, or a related field is required.
Experience: 4-5 years of accounts payable or general accounting experience in a Manufacturing environment.
Skills:
Knowledge of Cost of Goods a must.
Proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
Experience with accounting software (Oracle Fusion Cloud preferred).
Strong attention to detail and accuracy.
Excellent communication and organizational skills.
Ability to work independently and as part of a team.
Familiarity with accounting principles and procedures.
Work Environment:
Office-based role.
Typical work hours are Monday to Friday, with occasional extra hours during peak periods such as month-end or year-end closings.
