Job Description:

Job Summary

The purpose of this position is to advance the strategy and programs supporting IEEE Young Professional (YP) Activities. The incumbent develops and maintains expertise in assigned functional areas and is primarily responsible for leading the planning, execution, and assessment of high-visibility global programs and services within a portfolio management framework based on the strategic roadmap.

This position supports committee activities, including meeting administration, email and alias roster maintenance, content collection and distribution of online publications, report and presentation generation, as well as event and awards coordination. The role is crucial in enhancing member satisfaction and assisting Member and Geographic Activities in delivering an outstanding member experience, leading to market growth.

The role reports to the Sr. Manager, Member Programs, and does not have direct reports. It involves working with volunteers, staff, vendors, and strategic partners under moderate supervision within a team culture of shared authority.

Key Responsibilities


  • Committee Support 45%

  • Works with the Young Professionals (YP) Committee Chair to schedule and administer necessary committee meetings including annual in-person meetings. Finalizes meeting agendas/minutes/motions and archiving essential data, and helps facilitate meetings as requested

  • Participates in regularly scheduled staff and volunteer meetings, and provides updates on assigned initiatives and projects

  • Monitors performance metrics and usage. Researches, compiles and integrates data and information for purposes of summary reports, status updates and presentations for chair and volunteer leads

  • Ensures goals and objectives are on track and deadlines met

  • Creates and delivers communication, marketing, and promotional materials. Assists in the development of communication strategies in conjunction with team/stakeholders

  • Product and Project Management 30%

  • Creates detailed work plans that identify and document the scope and sequence, objectives, resources, and schedule of activities required for completion

  • Manages completion of deliverables in collaboration with principal stakeholders

  • Develops marketing and communication strategies in conjunction with team/stakeholders

  • Administrative Tasks 25%

  • Assists with budget construction and adherence

  • Produces regular progress reports and maintains all related documentation and analysis

  • Performs other duties as assigned

Education


  • Bachelor's degree or equivalent experience Non-Profit Management, Business Administration / Management, Business Analytics or similar majors Req


Work Experience


  • 2-4 years Strong track record of success in product/project management Req

  • Experience in a non-profit or association. Support of volunteer programs a plus Pref


Skills and Requirements


  • Ability to develop and maintain effective working relationships with staff, volunteers, and vendors

  • Highly organized, with the ability to shift focus/multi-task in a fast-paced environment while managing multiple projects

  • Demonstrates proficiency in data management and interpretation, including the ability to collect, organize, analyze, and present data to support decision-making and strategic initiatives (strongly desired)

  • Superior written, and verbal communication and presentation skills, including creating effective presentations.

  • Ability to work independently and as part of a team, including ability to collaborate across cross-functional teams

  • Proficient in MS Excel, Word, and PowerPoint, as well as Google suite of products. Smartsheet proficiency is a plus

  • Strong organizational skills

  • Experience in a Product Delivery Environment is a plus

  • Some domestic and/or international weekday and/or weekend travel required estimated (approx. 3x per year)
