Job Description:

Job Summary

The primary purpose of this position is to provide crucial support to executive staff by overseeing and coordinating ongoing projects related to IEEE's conferences and events business. The Project Analyst will be responsible for tracking project progress, managing timelines, maintaining project documentation, and ensuring that all relevant stakeholders are kept informed.

The ideal candidate will possess excellent organizational and communication skills, a keen attention to detail, and the ability to handle multiple tasks in a fast-paced environment. Additionally, they should be capable of recommending changes to processes and procedures for management review and approval.

This role typically reports to the Director of Event Business Operations and functions as an individual contributor

Key Responsibilities


  • Project Tracking & Coordination: Monitor and track the progress of various ongoing (Conferences, Events, and Experiences) CEE projects, ensuring alignment with deadlines and deliverables.

  • Status Reporting: Create and update project dashboards, compile status reports, and prepare PowerPoint presentations to provide comprehensive updates to the leadership team and other stakeholders. Highlight insightful findings and conclusions to be shared with a broader audience.

  • Documentation Management: Organize and maintain project-related documentation, including project plans, timelines, reports, and meeting notes.

  • Communication: Liaise with project stakeholders concerning project details and deliverables. Act as a central point of contact for project-related communication and facilitate smooth and effective communication between project teams and leadership

  • Meeting Coordination: Schedule and organize project meetings, prepare meeting agendas and follow up on action items.

  • Issue Resolution: Identify and escalate project risks or issues, assisting in finding solutions to maintain project progress.

  • Data Analysis & Reporting: Compile data from various sources to analyze project performance and provide actionable insights to leadership.

  • Ad Hoc Support: Assist with other administrative and project-related tasks as assigned by the executive team.

  • Accountability: Contribute to an environment of continuous improvement and accountability by ensuring project teams stay on task and on schedule.

Education


  • Bachelor's degree or equivalent experience Business Administration, Project Management, or a Related Field Req


Work Experience


  • 2-4 years 2-4 years of experience in project administration, coordination, or management Req


Skills and Requirements


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required; proficiency in project management software (e.g., Asana, MS Project, or similar) preferred

  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively

  • Excellent communication skills, both written and verbal, with the ability to interact with all levels of the organization

  • Attention to detail and a high level of accuracy in documentation and reporting

  • Familiarity with creating dashboards, status reports, and presentations for executive audiences

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Must be a technologically savvy knowledge worker who seeks out new solutions to business challenges

  • Must have strong collaboration skills as this position requires frequent interaction with cross-functional, solution-oriented teams
