The Opportunity:


The Undergraduate Admissions, Recruitment, & Marketing unit in the Office of International Programs is inviting applications for the position of Program Assistant (60% FTE). In this role, you will support prospective international students for the Washington State University system and Pullman Campus. The Undergraduate Admissions, Recruitment, & Marketing unit recruits global talent to all of WSU campuses and reads applications from Future Cougs.



In this role, you will perform specialized technical/clerical duties in support of the Office of International Programs Undergraduate Admissions, Recruitment, & Marketing unit. Under the general supervision of the Director and Assistant Director, you will provide students, staff, program participants, as well as the public with information and interpretation of policies and activities related to the programs specialty. Your responsibilities will include composing written communications, establishing and maintaining records relating to the day-to-day operation of the Undergraduate Admissions, Recruitment, & Marketing unit.






Required Qualifications:




  • High school graduation or equivalent AND two (2) years of full-time clerical experience OR equivalent education/experience.




  • Proficiency in the use of computers and software such as Microsoft Office and Outlook email.




  • Must have, or be able to obtain by time of hire, a valid driver's license and meet requirements in accordance with SPPM 7.10 and departmental driving standards.







Preferred Qualifications:




  • Strong interpersonal and organizational skills, including attention to detail.




  • Experience that demonstrates the ability to work with a diverse student population and knowledge of multicultural issues.




  • Experience working in a university office.




  • Bilingual or proficiency in a language besides English.




  • Experience using a Customer Relationship Management (CRM) system.







Job Duties:



Program Support - 80%



Admissions Support:




  • Provide prospective students, current students, staff and public with information on WSU, international admission and requirements.




  • Assist in processing, and evaluating of admission.




  • Enter transcript data in the systems used by the office.




  • Assist with document collection for all new international applicants and prospective students to WSU.




  • Scan and file documents and transcripts in the database and the Customer Relationship Management (CRM) system.




  • Respond to questions following established guidelines and determine appropriate follow up.




  • Assist with maintaining data integrity and smooth operations in the Customer Relationship Management (CRM) system, as well as create and maintain forms, queries, and communications within the CRM to support admissions.






Administrative Support:




  • Assist the team in documenting and keeping records of materials received in the office.




  • Mail sensitive documents, including visa and immigration documents to recipients across the world.




  • Maintain electronic and hard files for all international applicants.




  • Route international student emails to appropriate resource in the office and the university system.




  • Ensure department electronic and paper files are accurate, well organized, scanned, and filed as needed.




  • Correspond with applicants, departments, and follow up communication as necessary.




  • Route process, copy, and track documents as required by university and federal guidelines.




  • Maintain careful attention to federal and academic deadlines.




  • Draft routine forms, memos, notices, and letters. With direction from supervisor, create and modify document templates when necessary.






Event and Recruitment Support:




  • Work with student assistants and ambassadors to support recruitment initiatives.




  • Assist with events including but not limited to orientation, volunteer programs, recognition, and International Center activities as needed.




  • Support admission and recruitment functions by collecting recruitment collateral and brochures and sending them to recruiters, and recruitment event locations.




  • Under general guidance provide support to the Director with recruitment event planning.






Office Support - 10%




  • Enter data in the CRM.




  • Document calls and emails received in the CRM.




  • Oversee the general email inbox and phone line and directs the inquiries, requests, and calls to appropriate individuals.




  • Direct calls or visitors to proper staff within International Programs.




  • Assist with communications (such as emails using mass-mail software).






Other - 10%




  • Other duties as assigned

Monthly Salary: $1,943.40 to $2,579.40 (60% FTE rate) | Range 37 Steps A to M |Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.

Background Check: This position has been designated by the department to require a background check because it requires access to children or vulnerable adults as defined by RCW 74.34, engages in law enforcement, requires security clearance, interacts with WSU students in a counseling or advising capacity, has access to personal identifying and/or financial information, unsupervised access to university buildings/property, or other business-related need.
