Job Description:




SUNY Schenectady County Community College seeks a full-time Senior Reservation Specialist in our Hotel, Culinary Arts and Tourism Division. This is a competitive **provisional civil service position that involves the responsibility for controlling and booking reservations for the student run hotel, Casola Dining Room and reserving all banquets that are conducted by the Banquet Management and Operations and Quantitative Food classes. The incumbent establishes office procedures, implements policies and procedures, resolves day-to-day operational problems, organizes and coordinates the administrative activities in the department. The incumbent performs a variety of complex and confidential secretarial and hospitality duties for a department. The work is performed under the general supervision of the department head with leeway given for carrying out the details of the work. General supervision may be exercised over a variety of clerical employees. This position differs from that of Reservation Specialist by virtue of broader project and/or supervisory responsibilities as well as greater independence in carrying out tasks. The incumbent does related work as required.





Typical Work Activities:





  • Relieves department head of office and restaurant details by making appointments, receiving calls and dealing with problems that occur;

  • Screen calls to the department head and responds appropriately;

  • Arranges conferences, interviews and assembles and coordinates background materials for meetings and interviews;

  • Develops and maintains direct marketing data base of guests, sending out restaurant menus and taking reservations;

  • Books and reserves all banquets conducted by the Banquet class, special events and campus fund raising activities;

  • Shows potential guests the rooms that the banquets will be held in;

  • Quotes prices and collects final payments for banquets;

  • Works with the department in booking of special events such as Italian, German and French buffets, as well as fund raising vents in the department;

  • Monitors and tracks status of program activities;

  • Acts as a liaison between hospitality employees and the department;

  • Disseminates information to faculty as to office procedures;

  • Orders text books, prepares department budget, and orders supplies;

  • Opens, reviews, sorts and distributes mail in accordance with staff assignments;

  • Designs and maintains correspondence files;

  • Distributes menus, answers all questions about availability of dates, menus and details for the banquet;

  • May operate a micro-computer or remote computer terminal or similar computer equipment in the performance of daily work activities;

  • Performs a variety of related duties as required.






Requirements:





Full Performance Knowledge, Skills, Abilities and Personal Characteristics:




Thorough knowledge of office terminology, procedures and equipment; thorough knowledge of the operation of a hospitality department; good knowledge of business arithmetic and English; good knowledge of the organization, functions, laws, and regulations of the agency; ability to handle office details independently including the operation of a reservation system for a restaurant; must be detail oriented; ability to operate word processing equipment of job related equipment; ability to interact in a professional manner in dealing with the public and hospitality employees; ability to establish effective working relationships with a variety of people at all levels; personal integrity necessary to maintain confidentiality pertaining to office matters.





Minimum Qualifications:




(A) Graduation from a regionally accredited or New York State registered college with an associate's degree and two (2) years of hospitality experience, OR




(B) Graduation from high school or possession of a high school equivalency diploma and five (5) years of experience as defined by the limits of (A) above.




(C) An equivalent combination of training and experience as defined by the limits of (A) and (B) above.





Residency Requirement:




Must be a Schenectady County resident.

  • Hours for this position are: Monday - Friday 8:30am- 4:30pm

Additional Information:





Salary: $47,557/year, (Grade 11, Step 1)
