Division Overview: Youth & Family Services (YFS) help parents and young people who are striving to become healthy and restore their relationship. YFS works in partnership with human services, child welfare systems, juvenile courts, and community-based services providers so that together we can help individuals and families obtain the services and skills they need to live in positive, healthy ways.

We are currently looking for full-time – Office Support

Starting at $36,000 – contingent upon experience, education, etc.


Position Summary: Officer Support provides administrative and operational support services for staff and clients of TASC programs. This position also provides customer service, toxicology, and office administration services. It is a forward-facing point of contact between TASC, external partners, and individuals. Office Support coordinates facility repairs and is the point of contact for external vendors. Office Support is a resource for office operational needs to enhance program services and work processes.


Essential Duties & Responsibilities:

  • Manage operational functions for program service delivery, including toxicology services and other client-centered services for assigned TASC programs
  • Serves as primary point of contact for internal agency department staff and external partners, vendors, for the TASC Roosevelt site
  • Assist in addressing customer service concerns by resolving complaints and modeling quality client service.
  • Assists program staff with administrative and office service requests.
  • Responsible for procurement of office supplies and maintenance of office equipment, including copiers, fax machines, etc. Distribution of incoming/outgoing mail for program staff.
  • Collaborate with internal and external partners to provide toxicology results.
  • Maintains client appointments and toxicology records in the database system.
  • Ensures the cleanliness of the front office including the reception area and office equipment
  • Records minutes or notes during various meetings as required
  • Maintain a spreadsheet of closed files for archival and organizational log
  • Coordinate external record requests with TASC Compliance and Legal
  • Manage external file storage processes retention processes and workflows
Requirements:

Our Ideal candidate:

  • High school diploma or general education degree (GED)
  • Three years of related experience
  • Ability to work with a diverse population
  • Ability to effectively work as a part of a professional team
  • Ability to effectively present information in one-on-one and small group situations to clients, co-workers, providers, etc.
  • Demonstrates proficiency in Microsoft Office Suite
  • Practical written and oral communication skills
