Job Description:

ERM is seeking a detail-oriented Specialist, Project Administrator to provide high-quality project and administrative support our Climate, Sustainability and Transactions teams. We are seeking a highly organized administrative professional who is a team player with a positive attitude and will contribute to the efficient delivery of projects to ERM’s clients. In this role, the Project Administrator will support multiple Project Managers and Partners by driving execution of assigned tasks, applying creative approaches to achieving required outcomes, and ensuring quality deliverables. RESPONSIBILITIES:


  • This is a hybrid working role with a minimum of 2-3 days in office expected. This role is non-exempt (hourly).


  • Provide high-quality project and administrative skills while successfully juggling multiple deadline-driven tasks.


  • As part of the project delivery team, participate in project/account cadence calls and develop and track progress on action items lists.


  • Support go to market activities such as identifying and tracking key client contact repositories and campaign details, mining existing client databases, and coordinating with internal commercial teams.


  • Proposal writing and support related to providing consistency with client contracts, billing rates, insurance, and invoicing practices.


  • Provide financial support for projects by assisting with managing budgets in ERM’s Global Project Management System and accounting software.


  • Assist with project invoicing, budget tracking, financial reporting, accounts receivables, and special financial projects.


  • Work with client procurement/finance departments.


  • Create/track intercompany work authorizations between US and foreign ERM offices.


  • Liaise via email and phone directly with ERM’s clients on matters relating to schedule, budget, or invoicing.


  • Support Account Managers/Directors and Project Managers in maintaining opportunities records using SalesForce.


  • Support subcontractor management and project risk review through preparation of Subcontractor Work Authorizations, Certificates of Insurance, and contract review.


REQUIREMENTS:


  • Bachelor's degree required in a relevant field.


  • 3+ years of administrative, project management, marketing, or financial experience, in a professional services/consulting environment preferred.


  • Excellent communication skills (both written and verbal).


  • Strong computer skills, including MS Office (Word, Excel, PowerPoint, Outlook, Teams, Power BI and Project); experience with Salesforce, Workday, GMS, Viva Engage, and/or Avetta a plus.


  • Ability to work independently to manage and coordinate multiple project assignments simultaneously in a deadline-driven environment.


  • Detail-oriented, proactive, and ability to prioritize effectively.


  • Strong organizational, scheduling, and logistics skills.


  • Ability to work as part of a team and be a self-starter.

For the Specialist, Project Coordinator position, we anticipate the annual base pay of $63,099 – $70,61 (USD).  An employee’s pay position within this range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs.  We also may have instances where compensation may be outside of the range, based on the factors noted above.  This job is also eligible for an annual discretionary based performance bonus.
