Phillips Edison’s operating platform provides retail services including acquisition, redevelopment, leasing and management of grocery-anchored retail centers.
What you'll do:
Sophisticated Calendar Management: Extensive calendar management in a fast-paced environment, interacting with both internal and external executives, business partners, and assistants. Prioritize inquiries and requests while troubleshooting conflicts.
CEO Support: Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate CEO’s needs in advance of meetings, conferences, etc.
Board of Directors Support: assist with board matters and communications as needed.
Communication: Answer phones and serve as a call filter for the CEO, ensuring professionalism in all interactions. Prepare and distribute memos, meeting minutes, and other correspondence as directed.
Travel Arrangements: Coordinate all travel arrangements through preferred travel site and prepare CEO with all pertinent details for each trip, remaining available for support should travel needs change.
Meeting Coordination: Coordinate on-site meetings, video conferences, and conference calls as needed.
Office Culture Advocate: Help plan and execute events and outings for the office to ensure a strong office culture and networking opportunities for associates.
Personal Matters: Provide comprehensive support in managing personal matters as needed, enhancing overall efficiency of CEO.
Additional duties assigned as necessary.
What we're looking for:
10+ years of senior administrative assistant experience in a professional setting required. Prior experience providing support for C-suite level executives is strongly preferred.
Must demonstrate exceptional written and verbal communication skills with the ability to interface professionally with associates at all levels of an organization, both internally and externally. Prior communication experience with a Board of Directors is strongly preferred.
Must possess excellent computer and technical skills including a high level of competency in the Microsoft Office suite of products (Word, Excel, PowerPoint) and Adobe Acrobat.
Strong organizational skills.
Proven track record of problem-solving skills in a professional environment.
Positive attitude, trustworthiness, and ability to maintain a high degree of professionalism and discretion dealing with confidential information.
Must be a self-starter with the ability to adapt to change, set own priorities and meet deadlines in a fast-paced environment.
Demonstrated ability to work independently and as a team.
Bachelor’s degree preferred but will consider additional relevant experience in lieu of degree.
