Antea USA, Inc. (Antea®Group) is seeking a motivated Administrative Assistant in our White Plains, NY office location.

In the role of Administrative Assistant, you will support a broad range of projects, resources, and administrative assignments in a fast-paced environment. The ideal candidate will exhibit high standards, excellent communication skills, be detail-driven, and have the ability to take initiative and prioritize daily tasks.
This is a full-time role located in our White Plains, NY office. Hybrid work options are available for the right candidate.
Responsibilities
Serve as the primary facility contact for the White Plains, NY office. In this role, you will be responsible for facility and company operations including office supply and equipment inventory, and support of the local team.
Subcontractor and/or vendor invoice processing,client invoicing and accounts receivable management, and database management.
Field staff and/or subcontractor supply orders.
Ensure all internal/external communications meet strict corporate brand standards.
Provide PowerPoint development, design, and brand review support to the Operations team to include client-facing, industry, and internal slide decks.
Complete proposal and report formatting, editing, and grammatical reviews.
Other job duties as assigned with respect to office location.
Requirements and Experience
Minimum 5+ years of experience in an administrative support role;
Complete proficiency in Microsoft 365 applications required - including Excel, Word, PowerPoint, Teams, and Outlook;
Experience with Salesforce and Certinia (Financial Force) is required;
HS diploma minimum, Bachelor's degree preferred;
Outstanding interpersonal and communication skills are a MUST;
Creative eye, with the ability to execute written creative direction;
Ability to maintain strict confidentiality is mandatory;
Team player and forward thinker with the ability to shift priorities to proactively and efficiently meet Operational support needs;
Authorization to work in the United States without sponsorship, now or in the future; and
Potential employees must be able to satisfactorily complete a background check. They must also have a valid driver's license and good driving record.

Physical Requirements / Work Environment - Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following:

Occasional lifting and carrying of low (under 25lbs) to moderate (25-49lbs) weight objects
Repetitive motions: substantial movements (motions) of the wrists, hands, and/or fingers (including reaching)
Subject to inside environmental conditions (protection from weather conditions but not necessarily from temperature change)
Operation of a motor vehicle
COMPENSATION AND BENEFITS
The hourly salary range for this position is $26.00-$30.00. Compensation will vary depending on the applicant's job-related knowledge and skills, education, and work experience.
