Job Description:

Facilities Management is seeking a dedicated and detail-oriented Administrative Coordinator to join our team. This role is key to providing top-notch support to our Facilities Management department while we service the ever-changing needs for facility maintenance, utilities, landscape & grounds, and custodial services. 



 Duties:



  • Assumes day-to-day responsibility for organizing and coordinating specialized clerical functions. Answers questions, provides information, and handles inquiries for internal and external customers

  • Manages Taleo job listings, assists with new hire paperwork, and onboarding tasks

  • Processes appointment requests forms, entering electronic personnel action forms (ePAFs)

  • Schedules various appointments for office personnel and makes travel arrangements

  • Establishes and maintains filing systems, including confidential documents 

  • Updates office procedures for a more efficient operation when necessary

  • Approves departmental expenditures within predetermined guidelines

  • Reviews billing from contractors and vendors, adjusts as needed

  • Reviews and responds to routine correspondence for office personnel

  • Prepares various reports and minutes for meetings

  • Plans and coordinates special projects and events

  • Performs various duties as needed to successfully fulfill the function of the position

Required Education: High School Diploma or GED, AND:



  • 12 months office, clerical, or administrative experience.



Skills:



  • Basic math skills

  • Advanced computer skills with wide knowledge of business software

  • Proficient in Microsoft Office

  • Detail oriented for accuracy of data and information

  • Highly organized and able to handle multiple projects and deadlines

  • Proficient with Microsoft Office Suite (Word, Excel, and Outlook)

  • Able to work well with interdepartmental teams and initiatives

  • Excellent customer service

  • Demonstrated ability to deal with confidential information.

  • Ability to work independently in a fast-paced environment with changing priorities
