Job Description:

Our client, a professional non profit membership association, is looking for a temporary Meetnings and Professional Admin to join their team!




This role would be temporary, providing coverage for a medical leave (April-July), providing support to the director and administrative team with calendar management, meeting planning, and event coordination.




JOB SUMMARY: Under the supervision of Director, Meetings/Events, provides support to the meetings and professional development teams. Provides support to and completes periodic special projects on an as needed basis.



ESSENTIAL FUNCTIONS:


  • Process department invoices and ensure timely payments are made through finance team.

  • Process department contracts through contract software. Facilitate questions between approvers and contract owners.

  • Reconcile department team members' monthly credit card statements.

  • Monitor department inboxes (meetings, pd and sponsorship).

  • Schedule, attend and provide minutes for department volunteer meetings (Planning Committees, Professional Development Committee, Professional Development Learning Network, PDC Subgroup and Exhibitor Advisory Group).

  • Oversees organizational event and webcast calendars.

  • Monitors webcasts in conjunction with production partners.

  • Researches, recommends, and contracts private dining locations.

  • Special projects as assigned.

  • Other duties as assigned.


NON-ESSENTIAL FUNCTIONS:

EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered)

  • At least one year of experience in an administrative support role. Working with volunteer members in an association/not-for-profit a plus.

  • Bachelor's degree preferred.

  • Adept in technology and software programs.

  • Requires excellent written and oral communication and organizational skills.

  • Requires intermediate to expert-level knowledge of Microsoft Office programs (i.e., Word, Excel, PowerPoint, and Outlook).


KNOWLEDGE, SKILLS AND ABILITIES including competencies that may be representative but not all inclusive of those commonly associated with this position.

  • Ability to be a team player, assisting wherever help is needed.

  • Detail oriented, strong organizational skills.

  • Aptitude to work on multiple projects and meet deadlines.

  • Willingness to learn new things.



  • Requires ability to establish positive, open, approachable relationships with staff at all levels, as well as with volunteer members.

  • Ability to anticipate likely support requirements in advance of their need.

  • Requires a highly flexible work schedule that can adjust and respond to varying requirements needed to get the necessary work completed.

  • Requires the ability to work well under pressure while maintaining a positive temperament in a variety of work situations.
