Summary

The Specialist, Event Experience is a key member of SHRM’s Event Strategy and Experience team which is ultimately responsible for the planning and execution of SHRM’s Annual Conference and specialty conference portfolio. The Specialist is an experienced event professional that specializes in flawless event planning and execution. They will be responsible for supporting the development of immersive event experiences and integrated campaigns at SHRM’s in-person and virtual events. Using a strong understanding of events, conferences, and meetings, and/or experiential marketing industries, strong communication skills and having a successful track record detailing attendee experience and journey, the Specialist builds relationships and works collaboratively across departments and balances multiple projects simultaneously. The Specialist is driven by the goal to raise the bar and elevate the event experience.

Responsibilities:

  • Supports SHRM’s event series including Annual Conference, Talent, INCLUSION, and others throughout the year.
  • Works cross-functionally and partners with colleagues on event and campaign strategies, the attendee journey, alignment to SHRM brand campaigns, promotion, activation, and execution.
  • Acts as project manager of programs/initiatives/campaigns and oversees the associated deliverables, timelines, and budgets.
  • Builds and maintains internal and external partnerships and vendor relationships. Ensures event deliverables are on time and on budget.
  • Organizing and managing event details and logistics including but not limited to site visits, inspections, rooming lists, meeting specifications, transportation, health and safety, catering, AV/production, telecommunications, utilities, staging, equipment, furnishing rentals, photography, videography, ADA support providers, translation, event/VIP security, décor, temporary staff, attendance tracking, onsite materials, show management freight, and other service providers on conference orders.
  • Participates in bringing the theme, vision, look and feel to life at each SHRM event and understands big picture the organizational mission and goals.
  • Leads internal meetings to include setting agendas, creating meeting minutes, etc.
  • Assists in management of comprehensive department budget including tracking expenses and reconciling invoices. Liaises with SHRM Accounting and Legal teams as needed.
  • Represents SHRM and SHRM’s guiding principles in all interactions. Other duties and projects as assigned.

Education & Experience Requirements

Experience

  • Bachelor’s degree in public relations, Marketing, Communications, Journalism, Business, Hospitality, or related field.
  • 3 years of related experience in a similar work environment, such as a PR or marketing agency or in-house for large brand(s)
  • Demonstrated ability to build relationships both internally and externally.
  • Strong project management, customer service, collaboration, and time management skills
  • Solid written and verbal communication skills with ability to clearly articulate a story or idea to internal or external audiences.
  • Exemplary judgment, organization, and attention to detail.
  • Creativity and intellectual curiosity especially as it relates to traditional and nontraditional events and their associated trends.
  • Demonstrated ability to multi-task and meet critical deadlines.
  • Demonstrated ability to interact with all levels within an organization and display strong customer service skills, diplomacy, and tact.
  • Proficiency in Microsoft Office suite of applications
  • Self-starter and entrepreneurial spirit and track record of showcasing initiative and ownership of work
  • Strong writer/communicator

Physical Requirements

  • Regularly required to sit; talk and hear, use hands to type, file, handle or feel. The employee is frequently required to reach with hands and arms. Occasionally required to stand; walk and stoop, kneel, crouch, or crawl. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
  • May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk, lift, carry and move light to medium weight. Requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and learn technical information.
  • This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. Visual acuity requirements include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Light lifting is required. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force to constantly move objects.

Work environment

  • Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.

Able to travel 20% of the time.

The hiring range for this position is $70,000 to $80,000 per year. This range is an estimate, and the actual salary may vary based on the candidate's experience, skills, and qualifications. SHRM offers a competitive and comprehensive total rewards package.
