Job Summary
Job Title: Staff Assistant II Department: Health Center Administration Job Title: Staff Assistant II Department: Health Center Administration Reports To: Health Center Administration Operations Manager Position Summary: The Staff Assistant II plays a crucial role in ensuring the smooth operation of the health center. This person supports five members of the health center administrative team and serves as the first point of contact for patients and staff. The person in this role is responsible for triaging inquiries, assisting with administrative tasks, and coordinating meetings and technology. Key Responsibilities: 1. Front Desk Triage: 2. Serve as the initial point of contact for patients and staff entering or calling the department. 3. Administrative Support: 4. Assist the administrative team with various tasks, including scheduling and setting up meetings. 5. Coordinate with other departments to organize meetings and ensure all technological needs are met. 6. Maintain and manage calendars for the administrative team members. 7. Meeting Coordination: 8. Work with internal and external stakeholders to arrange meetings. 9. Ensure that all necessary technology (e.g., projectors, video conferencing equipment) is operational for meetings. 10. Prepare and distribute meeting materials as needed. 11. General Office Duties: 12. Perform routine office tasks such as filing, data entry, and document management. 13. Assist with the preparation of reports, presentations, and correspondence. 14. Manage office supplies and ensure that the front desk area is organized and welcoming. 15. Customer Service: 16. Provide excellent customer service to patients, staff, and visitors. 17. Handle inquiries and concerns promptly and professionally. 18. Foster a positive and efficient office environment. Qualifications: - High school diploma or equivalent; additional education or certification office administration is a plus. - Previous experience in a healthcare setting or administrative role preferred. - Strong organizational and multitasking skills. - Proficiency with office technology and software, including Microsoft Office Suite. - Excellent communication and interpersonal skills. - Spanish speaking preferred. Working Conditions: - This role primarily involves working at the front desk in the Administration office of the health center.
