The Opportunity
Act as a liaison between suppliers and involved departments to resolve procurement-related problems; handle correspondence and resolve issues concerning over-shipments, delivery shortages, changes in quantity, delivery dates, and prices and reports such changes to interested parties in a timely manner.
Maintain accurate information, including lead-time, pricing, current supplier information, current purchase order data, etc.
Compare prices and availability from multiple vendors and assess the best vendor to work with to support the implementation of new products and the maintenance of existing products through online channels and backend support systems.
Work with accounts payable department to resolve invoice disputes, validate vendor invoices, and follow-up to expedite overdue orders.
Receive and review all vendor contracts (with or without a purchase order) for completeness; business associate agreement (BAA) when applicable, Certificate of Liability, W9, etc. Synchronize with additional parties as needed (i.e. Contracts Director, Finance Director, legal) to get the contract signed and approved.
Maintain organized filing system (electronic and/or paper) for all purchasing related documentation and contracts.
Synchronize and facilitate maintenance and other applicable end of term or life tracking.
Verify purchasing requisitions for completeness including comparing items requested to standard list, clarifying unclear items, ensuring proper justification and approvals, recommending alternatives, etc.
Track inventory levels as needed including minimum order quantities. Initiate requisition when inventory reaches minimum quantity levels.
Process purchase orders to vendors, verifying terms and conditions are consistent with company standards. Edit purchase orders as needed.
Monitor shipments to ensure that goods or services are delivered on time, and in the event of problems, trace shipments and follow up on undelivered or damaged goods.
Communicate with all applicable parties as necessary regarding specific orders or purchasing in general. Assist when purchasing issues or variances arise.
Support office and facilities related services to include mail services, property maintenance requests, space planning, office safety protocol, security access management, supply orders, property management liaison, etc.
Monitor supplier performance and identify opportunities for improvements to ensure company requirements are met and suppliers are aware of their performance.
Ability to work with operating areas to review standards, processes, and procedures to maximize efficiencies and identify potential areas for improvement.
Analyze data to identify trends and develop solutions.
Perform ongoing research into a variety of purchasing-related areas, including competitor products and pricing and customer patterns and trends.
Guide full cycle of vendor management via vendor search and selection recommendations, analyze business requirements, contract recommendations, and continuous vendor evaluation to ensure best practices compliance and alignment with business objective.
Understand and support the requirements of internal stakeholders' procurement needs for a variety of products and services acquired from external suppliers and third-party vendors while determining the ideal number of vendors to meet the business needs without excess.
Act as a liaison and communicate with vendors as a central point of contact for coordinating, reviewing, and finalizing contracts as required in coordination with management including conflict resolution.
Write and review product specifications, maintain a working technical knowledge of the goods or services to be purchased. Conduct research to ascertain the best products and suppliers in terms of value, delivery, and quality including control spend, risk management, and build a culture of long-term saving on procurement costs.
Assist the Business to resolve vendor management issues such as vendor disputes and/or vendor termination.
Assist all phases of lease files including reviewing and monitoring leases prior to execution and throughout the lease term, monitoring critical lease duties, calculating rental escalations, and initiating appropriate action.
Work with accounting and property management to audit operating expense billing both estimated prepayments and reconciliation to ensure accuracy.
Maintain hard copy and electronic Master Lease files.
Perform all other duties as assigned and associated with the day-to-day operation of a commercial real estate portfolio.
Purchasing platform (Coupa) administrator for all back-end support and coding needs.
Troubleshoot and manage outages with support ticketing.
Liaison with Accounting NetSuite administrator for all integration needs.
System administrator for all other department supported platforms including Travel platform (TripActions) and internal online stores.
Required Experience and Competencies
Associates degree in related field in purchasing, accounting, marketing, general business, or another related field required.
3+ years of experience at a level equivalent to Purchasing Specialist with background in areas such as competitive bidding processes, development of contracts, service agreements, leases, or other written legal agreements required OR
A combination of education and work experience that demonstrates the attainment of the required competencies required.
Thorough knowledge and understanding of procurement practices, purchasing, ERP systems preferred.
Experience negotiating terms and strong networking ability preferred.
Demonstrated ability to interface effectively with business partner and supplier relationships with strong customer focus preferred.
Strong negotiation and supplier management skills preferred.
Strong project management experience, ability to manage change preferred.
Professional procurement certification is highly desirable.
Intermediate to advanced knowledge of Coupa Platform or similar ERP system preferred.
Proven experience working as system administrator level in a Procure to Pay platform preferred.
Intermediate skills in Microsoft Office Suite preferred.
Ability to conduct research and prepare analytical reports preferred.
Excellent customer services skills and professionalism preferred.
Demonstrated organizational and time management skills preferred.
Thorough knowledge of principles of purchasing and procurement policies, methods and procedures.
General knowledge of contract development procedures and practices.
Thorough knowledge of, or the demonstrated ability to learn quickly, a variety of Vituity policies, practices, and formats for common contracts, service agreements and leases.
Ability to develop, interpret, and apply accurate, multiple, and precise procurement specifications.
Ability to keep financial records and demonstrate creativity in developing cost-saving and buying practices.
Ability to plan and lead the work of others if required by the position.
Ability to work with limited supervision and exercise judgment to plan and accomplish goals.
Effective verbal and written communication skills to deal with people internal to the company, as well as with vendors, shipping agents, courier companies and sometimes government officials.

We are excited to share the base salary range for this position is $27.28 - $34.10, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
