Earlham College is seeking a Human Resources Administrative Assistant to join our team!




Summary:



The Administrative Assistant for Human Resources plays a vital role in supporting the department's operational effectiveness by managing communications, overseeing documentation processes, and facilitating key projects. This position requires a proactive individual with excellent organizational and multitasking skills, capable of handling sensitive information and coordinating various HR initiatives in a dynamic environment.




Primary Duties and Responsibilities:




  • Serve as the first point of contact for general HR inquiries and internal/external communications.

  • Manage daily office operations, including scheduling, procurement of supplies, and logistical arrangements for meetings and events.

  • Support HR staff with the facilitation of onboarding and offboarding, benefit enrollments, employee engagement initiatives, and recognition programs.

  • Audit and maintain organized employee records (physical and digital) to ensure compliance with institutional and legal standards.

  • Oversee and conduct background checks for employees and students.

  • Prepare and distribute HR reports, track expenditures, and assist with budget oversight.

  • Coordinate special projects, ensuring timely execution and collaboration across teams.

  • Facilitate internal communications through newsletters, announcements, and updates.

  • Maintain and update campus directories as needed.

  • Handle other duties as assigned while fostering a welcoming and supportive atmosphere for employees and visitors.

Qualifications

  • High School Diploma or equivalent required; additional education or HR-related certification is a plus.

  • Previous experience in an administrative support role, preferably in HR or a related field.

  • Proficiency in Microsoft Office Suite and a willingness to learn new systems.

  • Strong organizational, time management, and problem-solving skills, with a demonstrated ability to prioritize tasks in a fast-paced environment.

  • Excellent verbal and written communication skills, with the ability to handle confidential information with discretion.
