BACKGROUND:
Conference and Event Services (CES) serves as a centralized resource for planning academic year and summer conferences, meetings, and events at Princeton University. CES provides guidance and education on event related policies and compliance, and space scheduling support for the University. The CES team shares a commitment to consistently providing exceptional customer service while cultivating sustainable relationships with internal and external clients. CES is the liaison to external, not-for-profit organizations that are interested in renting University facilities. CES oversees Princeton University’s summer program for internal and external customers including conferences, enrichment programs, workshops, meetings, etc. CES prides itself in being the best at what they do by embracing a comprehensive approach to advising the event planner community on events at Princeton University.

SUMMARY OF POSITION:
CES staff members support over 60 sports camps run by Princeton’s varsity coaches. We are hiring Sport Camp Associates to provide support for our summer operation under the guidance of the full-time CES staff. Sports Camp Associates work with clients to ensure they have a positive experience before, during, and after their program. They are front line support and serve as the face of Princeton University to most of our summer guests. Successful candidates will gain valuable experience in sport camp management, project management, and customer service amongst other skills.
The hourly rate for this position is $18.50 plus on-campus housing and meal plan. This position is temporary.
RESPONSIBILITIES:
Sport Camp Management
· Serve as a resource and contact for clients and coaches.
· Conduct efficient check-in and check-out processes for residential camps.
· Inspect residential facilities to ensure residence halls are ready for each camp.
· Prepare camp materials (e.g. maps, folders, rosters, etc.).
· Set up tables, chairs, and signs for check ins.
· Enroll camper attendees using online software.
Administrative
· Handle administrative office duties: copying, filing, answering telephone calls, etc.
· Maintain accurate records and track expenses associated with events.
· Attend all staff training and meetings.
· Serve as a liaison between CES, Athletics and other on-campus departments.
Technical
· Utilize software systems (Iris, CCure, Salto, and ACTIVE Network) to manage participant registration, check-in and check-out procedures, assign and program key. access to spaces on campus and troubleshoot potential errors.
· Use Princeton systems to place work and equipment orders; including but not limited to facilities requests, A/V support requests, and building access requests.
Other Responsibilities:
· Work outdoors in a variety of temperatures and environmental conditions.
· Drive University vehicles, including passenger vans, cargo vans and golf carts.
· Line athletic fields and move sports equipment.
· Troubleshoot when problems occur.
· Other duties as assigned.
ESSENTIAL QUALIFICATIONS:
· Strong customer service skills.
· Ability to take direction from multiple supervisors while working both independently and as a member of a task force team.
· Must be organized, calm under pressure, and flexible as this job varies from day to day.
· Hold a valid driver’s license.
· Strong oral and written communication skills.
· Proficiency with computer use and willingness to learn new systems and technologies.
· Ability to lift 20-50 pounds occasionally (e.g. move sports goals on field, set-up tables. and chairs for events) and to engage in physical activity including walking long distances across campus.
· This position is residential (housing will be provided as a condition of your employment) to facilitate on-call, evening, and weekend guest and event support
· Two or more years of completed higher education and/or three years of sports camp management, business, recreation and leisure studies or physical education experience.
· Final candidates will be required to pass a background check.
PREFERRED QUALIFICATIONS:
· Associate or bachelor’s degree in sports management, business administration, recreation and leisure studies or physical education preferred.
