Administrative Assistant

Posting Summary
Provide administrative support and coordination for the Office of Inclusive Excellence, emphasizing operational management and budget oversight to ensure the delivery of high-quality services. Develop and implement processes that enhance departmental operations and improve overall efficiency. Coordinate logistics and travel arrangements; prepare materials for and perform note taking at meetings; provide project support for departmental and institutional initiatives. As a primary point of contact on behalf of the Director, exhibit sensitivity, professionalism, and confidentiality when responding to email, telephone, chat, and in-person inquiries from all stakeholders (students, families, academic and administrative collaborators, and external entities), and provide detailed information and referrals across a wide range of topics. Compile information, conduct research and draft communications. Collaborate with the event coordinator to support events by securing spaces and equipment, ordering food, collecting offsite supplies, preparing invitations and agendas, providing on-site assistance (including after-hours), and coordinating with internal and external groups, including guest speakers.
Minimum Qualifications (or equivalent combination of education and experience)
• Associate's degree with one to three years of related experience required.
• Must have a valid driver's license, or the ability to obtain one, and a reliable vehicle to travel to and from conference locations; or have the ability to arrange alternative transportation.
• Ability to work on multiple projects simultaneously.
• Must be able to work independently and as a team member with a diverse group of constituents, including academic and administrative leadership.
• Ability to work in a collaborative, fast-paced environment, and manage deadlines independently.
• Working knowledge of software applications used to support office functions including Office 365, Zoom and the ability to adapt to evolving technology required.
