University of Oklahoma Athletics Department is looking for a highly organized, self-motivated, enthusiastic member to join the Business Operations as the Business Operations Coordinator.This position will be primarily responsible for A/P, invoice management, purchase orders, and vendor relations.
Essential Functions:
Assists with general administrative tasks such as data entry, filing, scanning documents, copying, monitoring and responding to the Athletics
Business Office email and incoming phone calls
Manages and maintains accurate records, files, documents, and databases, ensuring compliance with university and department policies and procedures
Maintains and reviews small dollar purchase orders, RFP process, department coding masters, card management
Assist with purchasing duties for the division/department, including creating requisitions, purchase orders, and invoice management and processing while ensuring compliance with university, state, and departmental regulations
Collaborate with vendors and departments to ensure timely processing and payment of invoices, including proper coding while adhering to guidelines
Trains and provides customer service on the purchasing process and Supplier Onboarding for new departmental vendors
Assists with monthly review of 1099 report this includes collection and reporting of tax related information for the 1099 recipient
Assists with the completion of annual reports, audits
May assist with the management of non-cash benefits to employees on a monthly basis this includes but not limited to non-cash benefit items such as tickets, excess per diem, family travel, etc.

Required Education and Experience: High School Diploma/GED, AND:
36 months office, clerical, booking, or administrative experience.
Skills:
Excellent customer service skills
Proficient navigating and maintaining databases
Advanced excel skills with ability to build and manipulate spreadsheets
Able to understand a chart of accounts and code entries to proper account
Basic computer skills
Proficient knowledge of Microsoft Office
Detail oriented for accuracy of data and information
Highly organized and able to handle multiple projects and deadlines
Able to produce reports and complete work within deadlines
Strong initiative to solve problems
Able to work well with interdepartmental teams and initiatives
Must be able to perform basic data analysis

Prolonged periods of sitting at a desk, working on a computer
Ability to engage in repetitive motion and communicate effectively
Departmental Preferences:
Bachelor's Degree, preferably in Accounting or Finance, or equivalent combination of education/job related experience, and at least one year of related experience
Accounting or equivalent experience
Experience with intercollegiate athletics
Experience with University accounting systems (ARMS, PeopleSoft, etc.)
Able to gain and maintain working knowledge of university, Conference, and NCAA rules and regulations
Able to gain and maintain proficiency in PeopleSoft
