Job Description:
The Accountant III in Advancement Services performs complex accounting work involving the application of Generally Accepted Accounting Principles (GAAP), IRS regulations, CASE standards, and state law regarding donors and the university's responsibility when accepting donations. This position understands the structure of the financial accounting system and makes recommendations for gift related process improvements. The Accountant III serves as a point of contact for Texas State employees for questions surrounding restricted funds and gift processing.
Job Duties:
Prepare deposits ensuring that gifts are deposited within the mandated timeframe and accurate financial reports are generated.
Maintain the general ledger (GL) for gift accounts. Work in cohesion with account managers, Financial Reporting, and the Budget Office to establish accounts in SAP. This includes fund requests, internal order requests, account name changes, and account deactivation requests.
Reconcile gifts made through SAP, Blackbaud Merchant Services, Touchnet, GiveCampus and gifts intended for the Development Foundation, McCoy College of Business Foundation, and Athletics.
Train staff in gift processing, fund maintenance, and reconciliation.
Prepare and forward journal vouchers (JVs) for credit card transactions to Financial Reporting for posting. Issue invoices for reimbursement of credit card fees.
Process complex gifts and perform audits for accurate and timely recording.
Develop complex donor reports, financial reports, and invoices that require interpretation and analysis. Analyze the monthly reports to improve and/or create new reports to meet the needs of our clients.
Assist in monitoring and updating financial related policies and procedures.
Review and submit payroll deductions to Human Resources.
Initiate and participate in gift related clean-up projects.
Provide a high level of customer service to donors and university faculty and staff. Advise faculty and staff on receiving gifts through different vehicles, accounting policies, and fund options. Ensure proper documentation is received and reviewed, and benefit information is correct to properly receipt donors.
Read and interpret laws, regulations, policies, and procedures for compliance, best practices, and stewardship. Ensure proper procedures are followed and considerations are met for receiving gifts through donation pages, solicitations, events, appeals, and other systems. Stay informed of giving trends to identify different types of gift vehicles for appropriate processing.
