Senior Executive Administrator (SEA) | Starting $67,551.00 to $80,000.00 Exempt Per Year (Depending on Experience).
Provide administrative support to the President/CEO, adhering to a strict code of confidentiality.
Manages daily office responsibilities; from organizing complex projects, to daily workflow.
Provides supervision for the Receptionist/Administrative Support roles.
Receives visitors, manages telephone calls, prepares time sensitive correspondence including letters and documents, memoranda, narratives, and reports for signatures. Maintains administrative files.
Conserves President/CEO's time by reading, researching, and routing correspondence; collecting and analyzing information; initiating telecommunications along with performing other tasks that facilitate the President/CEO's ability to effectively lead the organization.
Ensures that the President/CEO is prepared for all meetings by preparing and/or gathering documents, reports and other necessary information and materials in advance.
Manages and coordinates the calendar, schedules appointments, due dates, meeting rooms, and other facilities, adapting as needed, to support the President/CEO and organizational projects and objectives.
Coordinates all travel arrangements and itineraries for the President/CEO and Board members.
Coordinates the dissemination of vital information to appropriate administrative staff, project/ program managers, and Board members.
Assists President/CEO in the development, design, preparation and implementation of projects and/or assignments.
Coordinates administrative meetings and conference arrangements with administrative staff.
Monitors communications received within the corporate website with specific attention to Corporate inquires, concerns and other requests.
Resolves most questions and problems independently taking or coordinating the appropriate action, referring only the most complex issues to higher levels.
Attends meetings conferences and workshops as assigned, performs special projects and other related duties as assigned.
Senior Executive Board and Corporation Activities:
Assist with the business of Board of Directors, including making all arrangements for Board Retreats, scheduling Board and sub-committee meetings, typing correspondences on behalf of the Board or Board Chairs, creates and submits travel reports for board members, and other related duties.
Take minutes at Corporation, Board, sub-committee meetings and other meetings; sends meeting notices, and other vital information.
Maintain Corporate records and governance documents.
Related duties as assigned in support of the Board of Directors.
Senior Executive Leadership Activities:
Provide administrative support to the Executive Leadership team, adhering to a strict code of confidentiality.
Provide support relating to high level projects and initiatives.
Coordinates all travel arrangements and itineraries for the Executive Leadership team.
Senior Executive Job Qualifications:
Bachelor's degree or related experience in office management or business administration.
Minimum of 4 years of experience in executive level administrative support, preferably with a non-profit organization.
Perform complex administrative duties with a high level of accuracy and efficiency.
Possess excellent communication skills (verbal and written), planning and organizational skills.
Demonstrates exceptional interpersonal skills, maintaining professionalism, composure and trust across all levels of staff, clients, and volunteers, even in high-pressure situations.
Ability to work at a high level with minimal supervision, managing multiple demands while meeting deadlines.
Excellent judgement skills and dependability.
Demonstrates advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook and Teams.
Bilingual in Spanish & English in verbal and written form preferred.
Must have reliable transportation, the ability to drive and valid auto insurance. Work irregular hours: early mornings, late evenings and/or weekends and travel as needed, up to 25% of the time.
