The MEP Project Manager’s primary responsibility is for the management of capital improvement projects and deferred maintenance projects within the Caltech complex. The role involves working on complex projects for various Divisions and Departments that require thorough knowledge of project management, best practices from project inception through project close-out. This position is onsite role, located in Pasadena, CA.
Essential Duties & Responsibilities:
Assisting in the design of mechanical systems from conception through construction for small and large buildings projects including preparation of calculations, reports, and specifications.
With guidance from senior team member perform fire suppression system selection and prepare designs involving the design of mechanical HVAC systems.
Project manage projects in multiple delivery methods including design-bid-build (DBB), design-build (DB), and DBB with design-assist.
Plan, manage, and coordinate all aspects of the project schedule, scope, and cost.
Value Engineer the project by identifying opportunities for savings and ensuring material substitutions are equal.
Manage the on-site project stakeholders.
Prepare Project Management plan and fee budget/proposal at the project outset.
Evaluate documents and communicate the client’s specific goals and expectations to all project team members.
Develop and communicate action plans that will lead the project team throughout the project, beginning with the initial Project Management Plan.
Re-evaluate the contract scope of work as the project progresses against the goals, expectations, and the needs of the client, and recommend adjustments as necessary.
Coordinate with cost management group for preparation of cost estimates, cost studies, actual job cost reviews, and budget reconciliation.
Organize and maintain framework for project team processes and record keeping of electronic and tangible documents.
Drive the permitting process by designing team documents to be submitted to various local, state, and federal agencies and ensure the applicable permits are moving through the process efficiently.
Ensure the project design management continues to follow the client project documents such as budget, scope, schedule, and client's design standards.
Prepare cost and revenue projections.
Perform Constructability Review to determine the reasonability of a build plan.
Develop and lead design management, procurement strategies, construction, fit-out, and closeout.
Contracts and claim negotiations.
Budget development and management.
Ability to run larger, more complex projects.
Effectively delegate project tasks to project management team.
Oversee the entitlement process for unoccupied construction sites to ensure appropriate zoning is obtained.
Lead the vision for project procedures and processes for running the project.
Other duties as assigned.

Knowledge & Skills Required:
Minimum 6-8 years’ work experience in project management or construction management of renovation projects.
BA/BS degree, preferably in engineering, construction management, or other related discipline.
Experience with MEPs.
Institutional and Higher Education project experience preferred.
Knowledge and experience planning, managing & coordinating all aspects of project, scope and cost for multiple projects.
Demonstrated ability to monitor and re-evaluate scope throughout the project and recommend adjustments when necessary.
Experience collaborating with cost management group to provide accurate and timely cost estimates, cost studies, actual job cost reviews, and budget reconciliation.
Experience with Value Engineering
Ability to exercise creativity and resourcefulness in managing the project effectively in a compressed timeframe.
