PURPOSE:



The Jewish Board's Community Behavioral Health treatment programs provide compassionate, high quality, evidence-based services to individuals and families in the communities we serve. Our staff use a culturally affirming, person centered approach to help individuals and their families develop skills and resources to improve overall functioning, to instill hope, and to strengthen resiliency. Our programs work closely with community partners to address health disparities in our neighborhoods while also celebrating the strengths and resilience of our communities.



POSITION OVERVIEW:



The Office Assistant supports the program by carrying out tasks that ensure the clinic runs smoothly and we can provide quality services to our clients and families.



KEY ESSENTIAL FUNCTIONS:



  • Provide support to Office Manager and clinic administrative staff

  • Answer incoming calls and make necessary outgoing calls for our providers. Taking messages as needed for staff.

  • Checking in clients- insurance check, collect and apply payments, inform clinicians of clients arrival

  • Scheduling/re-scheduling clients and maintaining scheduling calendars for clinic staff

  • Record copayments and private fees in Avatar system

  • Verify payment front logs with daily receipts on a daily basis

  • Enter transportation data into the NYC PTAR system as needed

  • Assist with charts/filing/scanning, Photocopying and mail projects

  • Assist with coordinating Open Access: including explaining intake packets to clients, assigning clients in Avatar system

  • Track and anticipate clinic needs to order supplies accordingly

  • Maintaining the appearance of the reception area and waiting room.

EDUCATIONAL/TRAINING REQUIRED:



  • High School Diploma plus 6-years of relevant work experience OR Bachelor's degree plus 3-years of relevant work experience


EXPERIENCE REQUIRED/LANGUAGE PREFERENCE:



  • Previous experience with medical billing and electronic case record keeping,

  • Strong computer skills (word, excel, databases, etc)

  • Aptitude with numbers




COMPUTER SKILLS REQUIRED:



  • Working knowledge of Microsoft Office, Ability to learn electronic health records and other software as required


VISUAL AND MANUAL DEXIERITY:



  • Able to read/input data and documents, including spreadsheets, reports and Electronic Health Records in printed form and on computer screens.

  • Able to input data into the Electronic Health Record.

  • Limited applications of manual dexterity and hand-eye coordination.

  • Noise level is consistent with levels usually present in an office, education, rehabilitation or health related environment when in office.
