The Office of Human Resources is seeking to hire on a temporary status a Payroll Representative to support the payroll processing functions. This role is responsible for ensuring the accurate and timely processing of the biweekly payroll in accordance with the annual payroll calendar. The Payroll Representative will verify time sheet submissions, process payroll adjustments, and ensure all earnings, deductions, and taxes are correctly applied. Additionally, the position will assist with payroll tasks for students, semimonthly, and faculty employees as needed.

Key Responsibilities:

  • Payroll Processing: Verify that all departmental timesheets are submitted on time, process payroll reports, and ensure earnings codes, deductions, and taxes are applied accurately.
  • Payroll Adjustments & Corrections: Address earning adjustments, corrections, or system overrides due to missed deadlines for time entry by departments.
  • Assistance with Other Payroll Categories: Support payroll processing for student, semimonthly, and faculty payrolls as needed. Provides backup support to the Payroll Compliance Manager with the Nonresident Alien Tax process (includes payroll and NRA payments on SIUE Contractual Service vouchers from the time of intake until the 1042-S forms are prepared). Process all payroll adjustments in the Banner system, including voids, manual checks ,and over/under pay adjustments.
  • Training & Support: Assist in training department representatives on payroll time entry procedures and provide guidance on responsibilities related to timekeeping.
  • System Setup & Maintenance:Help maintain the setup in Banner for time entry users and approvers in each department.

Typical Qualifications

Minimum Qualifications:

  1. High school diploma or equivalent.
  2. Any one or any combination totaling two (2) years (24 months) from the following categories below:
    1. course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
    2. progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.

The amount of time for which services are needed is not usually predictable and payment for work performed is on an hourly basis and based on actual hours worked. Workdays and hours may vary according to departmental requirements. Extra Help employees do not receive SIUE benefits, holiday pay or paid sick or vacation leave.

Extra Help employees are required by State Universities Civil Service System rules to take a 30-calendar-day break after working 900 hours. At the end of the 30 days, you may begin another 900-hour employment cycle in a new position if available. Working Extra Help will in no way affect any other employment opportunities with SIUE, including your position on and Civil Service register. There is no guarantee that working as Extra Help will lead to or secure permanent employment.
