Job Description:

The University of Iowa Institute for Clinical and Translational Science (ICTS) is seeking an Administrative Services Administrator to be an integral member of the administrative team in the ICTS. This position is responsible for overseeing the daily operations, managing financial resources, and ensuring compliance with regulatory requirements. Manage space and renovation efforts, collaborate with HR to align workforce planning with organizational goals, and lead information management. Additionally, support the development of funding proposals and play a key role in strategic planning and decision making to enhance ICTS funding and research capabilities.


Duties to include but not limited to:

  • Oversee and coordinate the daily functions of the ICTS working toward overarching strategic goals for the unit.
  • Make high-level independent decisions regarding the operational, financial, and human resources activities for the ICTS.
  • Collaborate with human resources to develop job descriptions and hire competent personnel.
  • Review, edit, and approve salary adjustments, career advancements/promotions/shifts of ICTS support staff.
  • Review and approve all ICTS expenditures.
  • Oversee the preparation of budgets, grant applications, proposals, status reports and financial statements.
  • Ensure that ICTS staff and collaborators are working towards the goals of the ICTS.
  • Collaborate with ICTS leadership in the development of new or the revision of existing strategic plans for the ICTS.
  • Manage, review, and revise ICTS data, documents, and other information for staff and leadership.
  • Oversee access to ICTS electronic folders.
  • Oversee both the internal and external marketing and communications strategies to promote the ICTS.
  • Maintain continuous lines of communication for keeping ICTS Directors informed of critical issues.

About ICTS: The Institute for Clinical and Translational Science (ICTS) at the University of Iowa was approved by the Iowa Board of Regents in 2007 to support the work of investigators involved in clinical and translational science. Our mission is to accelerate translational science through programs to develop the translational workforce, to promote engagement of community members and other stakeholders, to promote research integration across the lifespan, and to catalyze innovative clinical and translational research. These efforts will lead to the development of novel therapies and healthcare delivery strategies, the integration of translational research and clinical practice, and, ultimately to measurable improvements in the health of Iowa and the nation.

Required Qualifications

  • A Master's degree in a related field or an equivalent combination of related education and experience is required.
  • Five or more years in a leadership role such as operations manager or administrator in a clinical or healthcare setting including three or more years in a supervisory capacity.
  • Proven experience in writing, editing, and managing grant proposals and reports.
  • Excellent verbal and written communication skills, including the ability to draft, review, and edit complex documents effectively.
  • Professional experience working effectively with individuals from a variety of backgrounds and perspectives.
  • Experience coordinating and managing multiple projects simultaneously.
  • Proven ability to lead and manage teams effectively.
  • Must be proficient in computer software applications.
  • Evidence of progressive levels of decision-making authority.
  • Demonstrated ability to act with discretion and maintain confidentiality.

Desirable Qualifications

  • Knowledge of University policies, procedures and regulations.
  • Experience using grant management software and other related applications.
  • Experience collaborating with a cohort of national colleagues who share best practices for similar institutes at other universities.
  • Knowledge of clinical trial processes and regulatory requirements.
  • A PhD in a related field.
