Description

The Assistant Director of Alumni & Donor Relations plays a vital role in enhancing the connection between alumni, friends, and the University. This position is responsible for the coordination of various events, programs, and engagement activities aimed at fostering strong relationships and increasing alumni and friend participation.

Key Responsibilities:

  1. Event Coordination:
    • Assist the Associate Vice Chancellor for University Advancement and Executive Director of Alumni and Donor Relations (AVC) in strategizing, developing, executing, and evaluating events and programs for alumni and friends.
    • Create and implement a variety of engagement events, including online registration forms, website maintenance, and volunteer coordination.
    • Collaborate with alumni volunteers and various campus units to maximize event effectiveness and outreach.
  2. Alumni Engagement:
    • Develop and coordinate alumni volunteer recruitment opportunities for events and programs.
    • Work closely with the Alumni Association Board and other campus units to enhance alumni, friends, and student engagement efforts.
  3. Communications Management:
    • Oversee the SIUE Alumni Association’s social media presence, including content creation and management across multiple platforms.
    • Create and distribute mass emails and contribute to alumni publications in collaboration with University Marketing and Communications.
  4. Budget Management:
    • Develop and manage event budgets in collaboration with the AVC, ensuring adherence to financial guidelines.
    • Handle vendor management, contract administration, material purchases, and invoice reconciliation.
  5. CRM Utilization:
    • Utilize the University Advancement’s customer relationship management (CRM) system, including event modules and online community features.
    • Maintain registration forms and update donor records to ensure accurate tracking of alumni engagement.
  6. Operational Support:
    • Assist in the day-to-day operations of the SIUE Alumni Association and University Advancement.
    • Handle member correspondence, process online payments, respond to inquiries, and contribute to the strategic planning for University Advancement.

Typical Qualifications

Minimum Qualifications:

  1. Bachelor's Degree in communications, business administration, marketing, public relations or a closely related field.

Preferred Qualifications:

  • Two years of full-time or part-time equivalent work experience planning and executing events including marketing events.
  • Experience in public relations, communications, volunteer management and/or fundraising.
  • Excellent communication skills including writing, public speaking and small group interaction.
  • Exceptional customer service skills and attention to detail.
  • Must be professional, a self-starter, proactive, collaborative, results-oriented, be able to adapt to changing priorities and be able to interact well with persons from diverse backgrounds.
  • Must be able to work independently and take initiative.
