Job Description

Under the general supervision of the Bookstore Supervisor, performs a variety of ordering, receiving, sales, inventory management, cash control, and customer service activities. This position focuses on ordering general merchandise, providing customer support and maintaining fiscal records. This position ensures cheerful and pleasant customer service in a professional manner while working with students, staff, faculty and the community.


This role may require working extended hours, including weekends and evenings, to ensure sufficient coverage of the store and satellite locations.

Duties and Responsibilities


Bookstore and Fiscal Clerk Duties (55%)



  • Assists customers in the purchase, return and exchange of course materials and general merchandise; processes online orders; coordinates vending machine inventory and closeout.



  • Ensures problem-solving assistant for customers, auxiliary services staff, and faculty, including locating textbooks or supplies and checking availability of back-ordered or late-ordered items; ensures a positive experience and prompt response to all inquiries.



  • Regularly checks bookstore voicemail/email and responds to inquiries promptly; updates bookstore voicemail with hours, seasonal changes, and closures.



  • Coordinates displays, store arrangement, and assists with advertising with seasonal changes, special sales and new merchandise.



  • Assists with opening and closing store procedures; ensures prompt delivery of daily deposits; may investigate and report over/short discrepancies.



  • Conducts quarterly and annual inventory processes while maintain accurate records; investigates discrepancies; reports concerns to supervisor and/or director.



  • Attaches purchase orders, receiving documents and invoices together and enters information into point-of-sale (POS) system; may create requisitions, non-po receipts and reconciles department p-card transactions in ctcLink; may contract vendors regarding financial documentation and records.



  • Assists with book grant accounts; coordinates with Financial Aid and Cashier¿s office regarding student accounts, enters book account information into HelloPOS and tracks changes.



  • Picks up mail; receives, unloads, moves and processes packages and freight, up to 50lbs.



  • Regularly communicates possible theft, security and tender/petty cash concerns.





General Merchandise Ordering (25%)



  • Sources general merchandise and ensures receiving, checking, pricing and stocking of general merchandise; determines competitive retail pricing with regard to profit margin and marketing strategies; may research new supply sources and utilizes different markets and vendors to ensure best price; determines adequate product mix and inventory of supplies, snack and beverage, computers, electronics, apparel and gifts for resale.



  • Works closely with Bookstore Supervisor, Auxiliary Services Director and Auxiliary Services Coordinator on planning out bookstore purchases with regard to inventory and sales goals.





Course Material Collection, Inventory, and Sourcing Assistance (15%)



  • Assists Bookstore Supervisor with collecting course material adoptions; collaborates with faculty; verifies, approves and ensures timely posting of course materials and pricing.



  • Plans textbook shelf location, pulls books and returns overstock to wholesalers and publishers.



  • Assists with quarterly buyback and rental return programs including, shipping returns to vendors, buying books from students and contracts rental-not-returned (RNR) students.



  • Sources, receives, checks, and prices course materials as needed.





Auxiliary Services/Other Duties (5%)



  • May prepare, cook, and serve food in other areas under auxiliary services such as the cafeteria, coffee stand, concession stand and assisting with caterings.



  • Performs other duties as assigned.



Qualifications

One year of experience in retail selling or food counter work.


OR


Equivalent education/experience.


Preferred Qualifications
    Experience working in a college bookstore

    Experience working with Accounts Payable and Accounts Receivable

    Food Handlers Card

COMPENSATION


Monthly Salary: Range 34 ($3,028 - $3,910)
