Job Description:

The Mewbourne School of Petroleum & Geological Engineering is ranked among the top for petroleum education. The Sr Administrative Coordinator position works closely with the Director, faculty, industry advisory board members, and outstanding staff to manage department activities, and execute the vision of a world class school.


Essential Duties:



  • Serves as a primary point of contact for departmental administrative and personnel functions.


  • Coordinates with Human Resources Department on various issues.




  • Provides oversight of department payroll coordination and supervises staff.




  • Acts as payroll coordinator as needed.




  • Advises on appropriate practices and processes.




  • Responsible for continuous improvement of departmental processes.




  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.




  • Performs various duties as needed to successfully fulfill the function of the position.



Required Education: Bachelor's degree, AND: 



  • 36 months related experience 


Equivalency/Substitution: Will accept 48 months of job-related experience in lieu of the Bachelor's degree for a total of 84 months of related experience.


Skills:



  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Detail oriented for accuracy of data and information

  • Highly organized and ability to handle multiple projects and deadlines

  • Ability to communicate well and build rapport with students, faculty and staff

  • Ability to produce reports

  • Ability to multitask and meet deadlines in a timely manner

Departmental Preferences:



  • Assist MPGE Director, serve as central contact for events, schedules, projects, correspondence

  • Oversight of all department activities

  • Administer policies and procedures

  • Supervise administrative staff and personnel matters

  • Coordinate faculty, graduate student, and post doc personnel matters

  • Coordinate visiting scholar matters (visa, affiliate status, and position matters)

  • Review and approve all financial transactions and personnel action forms

  • Initiate, review and approve all department budgeting and financial matters

  • Supervise scholarship process.

  • Prepare and Coordinate Faculty meetings, minutes and documentation

  • Coordinate Tenure/Promotion, Progress Towards Tenure, and Post Tenure reviews

  • Coordinate annual Faculty Evaluations

  • Coordinate Faculty Searches

  • Coordinate Industry Advisory Board meetings

  • Other duties as required.
