GENERAL PURPOSE:


Reporting to the Senior Director of Admission & Marketing, the Assistant Director of Transfer, Graduate, and International Admission is a partially grant funded position through October 2025, with potential for continuation after the end of the grant term pending performance.





The Assistant Director of Transfer, Graduate, and International Admission position will be responsible for, and prioritize, the recruitment of domestic graduate and transfer students. In addition, this position will work with our international population throughout the admission process. This position will be a significant contributor to obtaining targeted goals in recruitment, application, and admission.






SUPERVISION RECEIVED:


Reports to the Senior Director of Admission & Marketing





SUPERVISION EXERCISED:


The Assistant Director of Transfer, Graduate, and International Admission will work collaboratively with Enrollment Management staff and may offer general oversight to student employees as needed for successful outcomes.






WORKING HOURS:


40+ hours per week, primarily during normal business hours with some weekend and evening requirements.






ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Coordinate outreach and student recruiting to include:

  • Work with the Admission team to manage the application and enrollment process

  • Assist with planning and execution of recruitment and yield events

  • Identify students from an assigned student population who meet the desired admission qualifications of the University

  • Work closely with parents, and alumni throughout all outreach efforts

  • Collaborate with financial aid staff to understand the financial aid process and communicate with students and families

  • Develop and maintain continuous communication with prospective students via phone, written correspondence, text messaging, and social media. Extensive personal contact with prospective students is required.

  • Review all applications within an assigned student population, including student transcripts, academic records, standardized test results, and participating in extracurricular activities to assess future student success with Heidelberg University.

  • Preparation of detailed trip / recruiting activity reports, including all expenses, and submit as required.

  • Other responsibilities as assigned by the Senior Director of Admission & Marketing.






ADDITIONAL DUTIES SPECIFIC TO THIS POSITION:



Transfer Population (50% of the job):






  • Develop and maintain relationships with community college partners through monthly visits and continued communication.

  • Select, schedule, arrange, and complete visits to community colleges, transfer college fairs, and select recruiting events.

  • Build a strong relationship with Community College Partners, especially Transfer Academic Advisors.

  • Maintain relationships and appropriate resources on campus including:

  • Maintain and pursue additional Articulation Agreements with two year institutions to facilitate transfer processes.

  • Maintain our two year Major Academic Plans for Open Transfer Majors in collaboration with the Owen Center for Teaching and Learning.

  • Remain up to date with campus resources for Transfer, Adult, and Re-Admit Students.





Regularly update transfer and non-traditional related web pages and print materials to ensure accuracy.






Graduate Population (35% of the job):



  • Maintain and pursue Articulation Agreements with four year institutions to facilitate graduate enrollment

  • Serve as the primary contact point for prospective Graduate Students.

  • Maintain and update the application for the graduate programs.

  • Review graduate applications

  • Develop marketing and communication pieces in collaboration with Marketing staff and respective faculty specific to graduate programs.

  • Participate in graduate college fairs in the target market.

  • Collaborate with faculty chairs for each graduate program at Heidelberg to ensure accurate and up-to-date program information is effectively communicated to prospective students.






International Population (15% of the job):



  • Keep up to date on our International email account.

  • Review international applications.

  • Regularly update international related web pages and print materials to ensure accuracy.

  • Serve as the primary contact point for prospective International Students.

  • Complete one international recruitment trip each academic year.

Requirements


DESIRED ATTRIBUTES AND QUALIFICATIONS:



Education and Professional Experience:


(A) Bachelor's degree from an accredited institution and related experience in higher education administration or appropriate academic discipline


(B) minimum of one (1) year of college admission, academic advising, academic support services, or student success work including supervisory and leadership-level responsibilities.


(C) A valid driver's license.






Preferred Education and Experience:


(A) Advanced degree in relevant academic field preferred.


(B) Experience working with or at a Community College


(C) Experience working with Transfer and Graduate student populations


(D) Knowledge of the Slate Customer Relationship Management (CRM) system






TOOLS AND EQUIPMENT USED: Knowledge of operation and use of various office equipment including, but not limited to: personal computer, including spreadsheet and word processing software, integrated database software, copier, telephone, scanner, and printers.






PHYSICAL DEMANDS:

While performing the duties of this job, the employee is frequently required to use arms, hands and fingers to operate and manipulate equipment generally found in an office setting. The employee may be frequently required to be mobile, communicate, and hear. The employee may occasionally be subject to a variety of outdoor environmental conditions including heat, cold, and precipitation.





The employee must frequently lift and/or move up to ten (10) pounds and occasionally lift and/or move more than fifty (50) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Mental demands include varied degrees of occasional stress while performing job duties.

While performing the duties of this job, the employee frequently works in an office setting, and educational facilities including sports and entertainment venues, all of which may be indoor or outdoor. The noise level in the work environment will range from moderately quiet to occasionally loud.





Employees will be required to drive in excess of 100 miles each way to events via university, rental, or personal vehicle, as deemed appropriate by their supervisor.
