Job Description:





Senior Development Assistant

As the Senior Development Assistant within the University Advancement team, you will play a pivotal role in supporting the strategic initiatives of the office. Reporting directly to the Senior Director of Advancement Communications and working closely with the Vice President for University Advancement, your primary responsibilities will include facilitating critical meetings and events, managing high-level administrative tasks, and coordinating complex schedules. You will ensure seamless communication and efficient operations within the office, working closely with senior leaders, high-capacity donors, and other key stakeholders.





Communication and Briefing:





  • Work collaboratively with the Senior Director of Advancement Communications to prepare briefing materials and follow-up for senior leadership, ensuring accuracy and relevance.





Report Management:





  • Oversee and manage reports related to the donor portfolios of the President and the Vice President for University Advancement, including tracking strategic tasks and stewardship activities.

  • Serve as the central visit coordinator, organizing personalized and complex on-campus visits for donors and prospects, from initial planning through successful execution.





Administrative Support:





  • Manage the Vice President's calendar, coordinate complex travel arrangements, and process expense reports efficiently.

  • Develop agendas for meetings, and track all follow-up activities to ensure continuous progress.





Event Management:





  • Develop invitation lists, draft invitation text, and prepare event-related materials for high-level events. Collaborate with the University Advancement events team to manage and execute all logistics.





Collaboration and Discretion:





  • Work within a collaborative and quality-driven environment, responding effectively to evolving priorities and triaging tasks as needed.

  • Interface comfortably with senior university leaders and high-capacity donors, exemplifying extraordinary discretion and maintaining confidentiality.






Requirements:





Education: Bachelor's degree required, with preference to Bachelor in Communications and relevant fields.





Experience: Minimum of two years of relevant experience in managing projects or working in development, communications, stewardship, or development services. Experience in a higher education or nonprofit setting is highly desirable.





Skills and Abilities:






  • Communication: Strong communication skills, with the ability to synthesize complex information and present it clearly.


  • Project Management: Demonstrated ability to manage multiple projects, prioritize tasks, and meet tight deadlines.


  • Technology: High proficiency in Microsoft Office (Word, Excel, Outlook), with an understanding of donor management systems and other relevant software.


  • Collaboration: Proven ability to work effectively within a team, fostering a collaborative and inclusive work environment.


  • Confidentiality: Strong sense of discretion and ability to handle sensitive information with integrity.


  • Flexibility: Adaptability and resourcefulness in navigating evolving priorities and challenges.
