The Program Coordinator is essential in planning, coordinating, and managing special projects within the KV Fresno Crisis division's system of care. This role involves directing project activities, supporting the Fresno Crisis Program Managers with organizational tasks, and ensuring the efficient operation of mental health crisis services while adhering to relevant regulations. The coordinator will collaborate with various stakeholders to drive project success and enhance mental health services in the community.

How will I contribute

Plan, coordinate, and manage special projects within the division.
Direct and coordinate activities involving project personnel to ensure successful project execution.
Create detailed work plans, set timelines, and establish budgets in collaboration with financial analysts and program managers.
Add new members to scheduling systems and coordinate training availability.
Assist operations in coordinating vehicle fleet activities, including ongoing maintenance and vehicle rotation for project activities
Oversee the seamless onboarding of new staff, ensuring that all necessary documentation is completed and submitted prior to their start date.
Coordinate orientation sessions, provide essential training materials, and familiarize new employees with organizational policies and procedures.
Ensure first-day requirements, such as IT setup and workspace arrangements, are met, creating a welcoming and supportive environment for new hires.
Conduct regular follow-ups to address any questions and facilitate a smooth transition into new hires roles.
Track employee certification requirements and deadlines, and completes follow-up with staff as needed.
Creates, and manages employee schedules for multiple CIT programs, must be flexible and available around the clock to make necessary scheduling adjustments as required.
Conduct project evaluation and research activities, design evaluation methodologies and measure outcomes.
Prepare and analyze reports on project activities and accomplishments, ensuring insights inform decision-making.
Track project progress and needs through collaboration with data analysts to evaluate data collection and analyze outcomes.
Meet regularly with program managers, data analysts, budget analysts, privacy officers, policy and procedure leads, and the 988 leadership to implement and manage impactful projects.
Prepare reports on project outcomes for meetings with the Department of Behavioral Health.
Oversee Mental Health Awareness Outreach Events and coordinate efforts with program managers.
Track inventory for all crisis teams, including outreach supplies and materials for people served.
Create and oversee onboarding tasks for new team members, including ordering and reassigning equipment, tracking progress, and managing credentialing packets.
Exercise independent judgment and discretion in project planning and execution.
Develop and implement strategic initiatives to enhance project outcomes and operational efficiency.
Engage in high-level problem-solving related to project challenges, including resource allocation and prioritization.
Influence and negotiate with various stakeholders to secure support and resources for project initiatives.
Mentor and train project personnel to foster skill development and ensure high performance.
May encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible.
Perform other duties as assigned to support the overall functioning and success of the program.


What I bring

High School Diploma (or Equivalent)
Class C Driving License
3 years proven experience in project coordination, management, or similar roles, preferably in mental health, social services or medical health. Experience managing calendars, travel arrangements, and meetings.
Experience with minute-taking and meeting coordination. Knowledge of Smart Care. Familiarity with budgeting and financial processes.
Excellent organizational and multitasking skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to maintain confidentiality and handle sensitive information.
Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse teams and stakeholders. Detail-oriented and able to work independently with minimal supervision.
Bachelor's degree in a related field (e.g., Project Management, Public Health, Social Work). Knowledge of mental health regulations and ethical standards is a plus
