Job Summary:
Provides administrative, technical and analytical support and guidance to one or more of the Vice Presidents or other executive leaders within AU Health System, while maintaining a high level of professionalism and courtesy in all communications and interactions with others. Serves as the primary point of contact for all internal and external matters pertaining to the office of the VPs or executive leaders. Completes a broad variety of tasks including: managing extremely active calendar appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and researching and compiling documents prior to meetings ensuring the VPs or executive leaders are prepared.
Core Responsibilities and Essential Functions:
Answers and directs incoming telephone calls in a professional manner, managing a variety of inquiries, requests and issues for the office of the VPs or executive leaders. Receives, prioritizes and directs incoming mail and correspondence to ensure expeditious follow up. Creates or refines correspondence with little supervision. Monitors email account for time-sensitive communications, responding on behalf of the VPs or executive leaders when appropriate.
Prepares charts, tables, graphs, Power Points, etc. for use at various meetings.
Coordinates and maintains calendar for VPs or executive leaders tightly, looking ahead and anticipating events requiring presence and participation. Prioritizes requests of meetings and determines schedule. Confirms all scheduled meetings in sufficient time to ensure minimal last minute changes. Compiles necessary documents for VPs or executive leaders to be prepared for meetings. Assists in arranging logistics, ordering necessary materials, and preparing the room for meetings.
Secure travel plans, initiates travel requests, develops travel itineraries, and composes and submits travel expense reports to ensure timely reimbursement. Manages invoices and initiates check requests for various expenses. Provides guidance to direct reports of VPs or executive leaders as needed for various invoicing needs and reimbursement requests.
Ensures timely submission of various financial reports, personnel evaluations, timesheets, etc. for VPs or executive leaders and their direct reports. Maintains and organizes associated departmental personnel records.
May need to serve as a back up for other Executive Administrative Assistants in the administrative office from time to time.

Required Minimum Education:
Bachelor's Degree Required
Required Minimum Experience:
2yearsormoreofexperience in anexecutiveassistantroleor5yearsofvariedandprogressivelyresponsible admin assistant experience in a large company and/or healthcare system. Required
