What Will Your Job Look Like?

The Bilingual Administrative Assistant (Spanish) is an integral part of the functional assessment team by providing administrative office suppo1t and translation services.

Location: 209 W 9th St Austin, TX 78701

What you’ll do:


  • Provide bilingual (Spanish) translation during recruitment, eligibility interviews, functional assessments and when writing eligibility notifications to applicants

  • Updates applicant's file in Trapeze/CERT software programs

  • Compile and maintain all suppo1ting documentation of applicant's application materials, interview, and assessment notes

  • Develop, interpret, implement, and communicate policies and procedures

  • Prepare eligibility notification letters in English and/or Spanish to applicant based on determinations made by and between mobility assessment evaluators and the client Capital Metropolitan Transit Authority­ Metro Access Paratransit Service. Includes all appropriate inserts and flyers

  • Follow appropriate workflow procedure for handling applicant documents through completion to include scanning functional assessment notes and eligibility letters into Trapeze/CERT software programs, then filing documents according to protocol

  • Assist with faxing and follow-up phone calls on pending documents

  • Enters travel training referrals into the referral log

  • Ensure all staff and visitors are greeted in a pleasant and professional manager

  • Project a professional image of MTM Transit

  • Establish and maintain effective working relationships with employees, supervisors, agencies, participants, external partners, general public, etc.

  • Communicate effectively and professionally with senior leaders internally and externally

  • Maintain office inventories and order supplies

  • Prepare needed supplies and order replacement supplies in a timely manner

  • Prepare outgoing mail

  • Assist with preparation of assessment materials

  • Plan meetings, prepare agenda, create memos, transcribe minutes, etc. for assessment team meetings

  • Design filing systems and ensure they are maintained and up-to-date both electronically and in hard-copy

  • Work with departmental supervisors to prepare monthly updates of office activities, trainings, accomplishments, etc.

  • Attend to a variety of administrative details such as keeping informed of department activities

  • Report promptly any complaints or unusual circumstances to Program Manager

  • Check fax machine regularly and deliver faxes to the appropriate person/department with special attention to urgent faxes

  • Adhere to all MTM established protocols and policies

  • Maintain impeccable attendance as outlined by the MTM attendance policy

What you’ll need:

Experience, Education & Certifications:


  • High school diploma or G.E.D. equivalent

  • Excellent bilingual (Spanish) written, and verbal skills

  • Must possess the ability to assess potential problems and make sound judgments around issues that may have an adverse effect on the business

  • Typing speed of 30 wpm or greater

  • Working knowledge of Microsoft Word, Excel and PowerPoint

  • Ability to learn and perform data-entry within transit-specific software

Salary: $21.62/hr
