Job Summary

Senior Mission Advisor has responsibility for facilitating the operational success of all mission-related activities for assigned client(s) by utilizing her or his experience and knowledge in a Subject Matter Expert (SME) role. The Senior MA partners with assigned client’s flight department and serves as the principal point of contact to coordinate all mission requirements including pre-planning, in-flight mission management, and post mission follow-up.

They ensure all mission services are professionally arranged in a timely manner in accordance with all applicable policies, procedures, regulations and client preferences by collaborating closely with the assigned client, external vendors and suppliers, and internal Universal support teams. Additionally, the Senior MA capture client’s aviation needs and develops them into a functioning operational plan to facilitate requirements according to client preferences. She\he serves as an advisor to client and provides guidance when non-standard and crisis situations occur.

The Senior MA shares her or his knowledge and experience with client and internal Universal teams to align strategies with client’s operational goals and objectives. She\he will perform other duties as assigned by client or Universal leadership to ensure the successful completion of client missions.

Essential Duties and Responsibilities

  1. Serve as special care representative for assigned customers; completes all trip support to include individualized care for routine and complex services and revisions and principal point-of-contact for “Special Missions” defined as high-profile or classified trips.
  2. Complete all tasks associated with the trip load process to include new trip write-ups, simple and complex revisions and all associated requests and confirmations of supporting products and services without supervision.
  3. Collaborate with other Universal departments for internal product and service requirements to include, but not limited to flight plans, weather, crew accommodations, and regulatory services.
  4. Able to address customer inquiries on criteria, application, and compliance of primary regulatory service offerings from Universal, including government manual services; possesses operating knowledge of which government personnel resources, internet sites, hardcopy manuals or internal subject matter experts to consult for guidance and resolution.
  5. Able to interpret and discuss sample flight plan results (information) in support of active trips using existing, valid flight routes.
  6. Monitor Mission Support System to ensure all details are completed and all services are acknowledged and confirmed in a timely and efficient method according to client preferences, required lead times, curfews, operating hours, and other time driven factors.
  7. Conduct trip reviews and ensure quality of all services; check messages and requests before transmission and thoroughly reviews each folder upon completion of the assigned task to ensure accuracy.
  8. Collaborate with Quality Control and Portfolio Team Managers to review upcoming files to ensure all details are complete and all services are confirmed in accordance with policies, processes, procedures, and client preferences.
  9. Collaborate with business development managers and account managers to ensure capture and integrity of customer requirements and client profiles.
  10. Collaborate with Data Management to load and maintain customer preferences in proprietary mission support system; may travel to participate in client on-boarding or re-boarding activities.
  11. Share knowledge and experience to mentor and coach team members to increase their skills; answer questions, provide guidance and assistance; educate less experienced co-workers through demonstrations and explanation of specific scenarios and challenges.
  12. Provide assistance to Client Relations and other cross functional support departments in researching operational and invoicing issues that impact customers.
  13. Identify trip-related issues and work collaboratively with others to develop solutions and reduce errors.
  14. Collaborate with Continuous Improvement Team and Product Management on service and product development in accordance with go-to-market strategy.
  15. Completes other duties and projects as assigned.

Qualifications and Requirements

  • Some college required; prefer degree in Aviation or related field or equivalent military experience.
  • FAA Dispatcher License or Air Traffic Control certification preferred.
  • Minimum five (05) years of experience in the aviation industry providing direct customer support.
  • Experience as a scheduler or dispatcher in a flight department a plus.
  • Ability to consult and advise clients regarding regulatory environment.
  • Ability to consult and advise clients regarding flight planning products and services.
  • Subject matter expert on trip write-up skills and production functions; requires no supervision to complete basic and complex trip requests including revisions.
  • Must be proficient and capable of working in a computerized office environment including Microsoft Teams, Outlook, Word, Excel, and PowerPoint.
  • Demonstrated keyboarding skills.
  • Proficiency in navigating multiple databases simultaneously to serve clients in a timely and efficient manner.
  • Ability to apply attention to detail to ensure accuracy of data entered into proprietary trip support system.
  • Ability to use a multi-line telephone to include, but not limited to placing calls on hold, transferring calls, and setting up conference calls.
  • Ability to apply basic math skills to accurately calculate flight schedules.
  • Ability to apply military time using 24-hour clock.
  • General knowledge of geography and the ability to determine how it relates to travel..

Other Information

  • Normal office environment; often a flight operations center.
  • Must have ability to work rotating shifts in 24/7 365 days a year environment.
  • Domestic and International travel (= 10%) may be required.
