How will you make an impact?



Do you enjoy a fast-paced environment that strives for excellence in satisfying customer's needs? An exciting opportunity has arisen for an Open Order Specialist to join the Encompass Third-Party Team! This role is responsible managing the overall order backlog by analyzing trends and reports, then addressing past due lines by taking appropriate actions and creating corrective measures.



What will you do?





  • Run and analyze reports to identify current backlog/open orders

  • Reconcile and analyze open orders and open lines for potential issues for assigned suppliers

  • Maintain a master tracking report of suppliers with open order count and open order dollars

  • Build working relationships with suppliers to identify and resolve open order root causes and potential issues

  • Maintain a current supplier open order contact list including name, phone number and email address

  • Obtain invoice copies and/or new shipment dates from suppliers and take appropriate action

  • Add notes to the order(s) worked and maintain adequate records

  • Provide tracking of number of lines resolved weekly, and complete weekly activity report

  • Assist buyers as needed with issues related to open orders and/or credit holds

  • Raise issues to Manager for further resolution when necessary

  • Work as needed to further reduce high dollar open orders at each quarter end

  • Provide training for other open order personnel as needed

  • Perform other duties as assigned


Education/Experience:





  • High School diploma required

  • Minimum of 3 years clerical or administrative support experience


Knowledge, Skills, Abilities:





  • Good communication skills and excellent telephone skills

  • Strong organizational skills, good judgment, persistence and diplomacy

  • Ability to effectively prioritize multiple projects and tasks

  • Ability to work independently as well as effectively in a team environment

  • Ability to learn new technologies and self-train when appropriate

  • Proficient computer skills: Microsoft Excel, Word, PowerPoint, and Power BI
