JOB SUMMARY/OBJECTIVE:

The Administrative Assistant provides essential clerical and operational support ensuring effective and efficient functionality of the office. Responsibilities include managing patient schedules, maintaining accurate records, managing correspondence, and performing various office duties to support healthcare services. With strong organizational skills and attention to detail, the Administrative Assistant ensures tasks are completed with precision and confidentiality. By fostering a collaborative and respectful environment, this role directly contributes to the efficient delivery of high-quality healthcare services.

PRIMARY RESPONSIBILITIES:

  • Schedule patient appointments and manage the appointment calendar for healthcare providers.
  • Confirm patient appointments and follow up on cancellations or rescheduling needs.
  • Greet patients and visitors, providing excellent customer service and directing them to appropriate areas.
  • Answer phone calls, handle inquiries, and relay messages to healthcare staff.
  • Perform general office duties such as filing, data entry, and maintaining patient records.
  • Prepare and process medical forms, referrals, and insurance claims.
  • Ensure patient records are accurately maintained and updated, including electronic health records (EHR).
  • Manage confidentiality of patient information and adhere to HIPAA regulations.
  • Communicate effectively with patients, healthcare providers, and other staff to coordinate care and manage patient needs.
  • Assist in the coordination of patient referrals and follow-up care.
  • Assist with billing processes, including verifying insurance information and processing payments.
  • Ensure that medical coding is accurate and compliant with billing practices.
  • Monitor and manage office supplies and inventory, placing orders as needed.
  • Operate office equipment, including computers, printers, and fax machines.

MINIMUM QUALIFICATIONS:

  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent verbal and written communication skills for interacting with patients and healthcare staff.
  • Ability to provide exceptional customer service and handle patient interactions with professionalism and empathy.
  • High level of accuracy and attention to detail in handling patient records and administrative tasks.
  • Basic computer skills, including proficiency in data entry, and familiarity with electronic health record (EHR) systems if applicable.
  • Understanding of confidentiality and privacy practices, including adherence to HIPAA regulations.
  • Ability to adapt to changing healthcare environments and priorities.
  • Ability to work effectively as part of a team and collaborate with healthcare professionals and administrative staff.
  • Strong problem-solving skills and the ability to handle routine office challenges effectively.

REQUIRED EDUCATION & EXPERIENCE:

  • High School diploma or equivalent.
  • Familiarity with office equipment and software, including Microsoft Office Suite (Word, Excel, Outlook).

PREFERRED:

  • Previous experience in an administrative or office support role, preferably in a healthcare setting
  • Coursework or certification in medical office administration or a related field
  • Certification in medical office administration or a related field (e.g., Certified Medical Administrative Assistant (CMAA)).
  • Familiarity with electronic health record (EHR) systems and medical billing software.
