JOB SUMMARY/OBJECTIVE:

The Project Scheduler plays a crucial role in ensuring the timely execution of projects by effectively planning, coordinating, and managing project schedules. This position is responsible for maintaining adherence to timelines and milestones, collaborating with project managers, healthcare professionals, and key stakeholders to gather input, identify potential delays, and implement solutions to ensure projects are and remain on schedule. The Project Scheduler monitors resource allocation, adjusts schedules as needed, and ensures projects are completed on time, within scope, and in alignment with organizational objectives. By expertly managing schedules and driving timely execution, the Project Scheduler is instrumental in delivering successful outcomes and advancing the organization’s mission.

PRIMARY RESPONSIBILITIES:

  • Create and maintain detailed project schedules using scheduling software (e.g., Microsoft Project, Primavera P6) based on project plans, resources, and timelines.
  • Define project tasks, milestones, dependencies, and deadlines, ensuring alignment with project objectives and healthcare regulations.
  • Monitor and update project schedules to reflect changes, progress, and delays.
  • Track project performance and adjust schedules as necessary to meet project goals and deadlines.
  • Collaborate with project managers, healthcare teams, and other stakeholders to gather information and ensure accurate scheduling.
  • Communicate schedule changes, updates, and impacts to all relevant parties, including project teams and management.
  • Monitor project progress against the schedule and identify any deviations or issues.
  • Prepare and present regular status reports on project timelines, milestones, and performance.
  • Identify potential scheduling risks and develop strategies to mitigate them.
  • Address and resolve scheduling issues and delays, propose solutions to ensure projects remain on track.
  • Maintain accurate documentation of project schedules, changes, and communications.
  • Archive scheduling documents and records for future reference and audits.

MINIMUM QUALIFICATIONS:

  • Strong knowledge of project scheduling techniques, tools, and best practices specific to healthcare projects.
  • Ability to analyze complex project schedules and identify key issues or risks.
  • High level of accuracy in creating and maintaining project schedules.
  • Excellent organizational skills to manage multiple projects and tasks simultaneously.
  • Strong verbal and written communication skills for interacting with project teams, stakeholders, and management.
  • Ability to identify scheduling issues and develop effective solutions to address those issues.
  • Proficiency with scheduling software and tools, as well as other relevant software (e.g., Microsoft Office Suite).
  • Understanding of healthcare processes, regulations, and compliance requirements when working within a healthcare setting.
  • Ability to adapt to changing project requirements and priorities.
  • Strong teamwork and interpersonal skills for working with diverse teams and stakeholders.

REQUIRED EDUCATION & EXPERIENCE:

  • Bachelor’s degree in project management, healthcare management, business administration or related field.
  • Minimum of two (2) years’ experience in project scheduling or project management, preferably in a healthcare setting.
  • Proficiency with project scheduling software (e.g., Microsoft Project, Primavera P6, or similar tools).

PREFERRED:

  • Master’s degree in project management, healthcare management, business administration or related field.
  • Minimum of five (5) years’ experience in project scheduling or project management, preferably within a healthcare setting.
  • Certification in project management or scheduling (e.g., Project Management Professional (PMP), Certified Scheduling Professional (CSP)).
  • Experience with specific types of healthcare projects (e.g., facility renovations, IT implementations, regulatory compliance).
