Job Summary/Basic Function:
This position is part of the Financial Aid and Scholarships team. Leads a large team of mid-level systems analysts and financial aid production staff who provide the support and compliant functionality for processing the full scope of federal, state, and institutional aid administration for the department. Coordinates with multiple areas in the department to maintain and integrate university ERP systems, other systems including but not limited to PeopleSoft Campus Solutions, Perceptive Content, TDClient, etc. processes, and data. Position is responsible for ensuring the information technology needs for the department are met and that appropriate levels of engagement are ensured across department projects and systems. This position represents the office on university committees, and provides leadership in the director's absence.

Level Scope:
Spends the majority of time (50% or more) achieving organizational objectives through the coordinated achievements of subordinate staff. Manages experienced professionals who exercise latitude and independence in assignments. Establishes departmental goals and objectives, functions with autonomy. Manages the accountability and stewardship of human, financial, and often physical resources in compliance with departmental and campus wide goals and objectives. Ensures subordinate supervisors and professionals adhere to defined internal controls with a focus on policy and strategy implementation. Manages systems and procedures to protect departmental assets and requires practical knowledge in leading and managing the execution of processes, projects and tactics within one area.
Essential Functions:
60% of Time the Associate Director of Systems and Production:

  • Spends the majority of time achieving organizational objectives through the coordinated achievements of subordinate staff. Manages experienced professionals who exercise latitude and independence in assignments. Establishes departmental goals and objectives, functions with autonomy.
  • Provide advanced expertise for technical support for modules used by departments to manage the daily operation.
  • Oversees, maintains, updates, tests, and troubleshoots systems and business processes in a manner that minimizes downtime and encourages feedback from department units.
  • Oversees and maintains technical documentation on systems (including systems architecture), business processes and integration points for the department.
  • Acts as the information security steward overseeing granting necessary access to individuals that balances the needs of positions with proper internal controls.
  • Supports other department initiatives with representation, working on project teams and coordination of change management.
  • Utilize change management strategies to focus on the people side of project adoption. Employ approaches that help transition individuals to a future state. Assess the cultural landscape and adapt change management strategies as appropriate to meet the objectives.
  • Coordinate with back office end users. As production critical issues occur, this position will test the technical resolution, in a test environment, before it can be introduced into the production environment.
  • Provide project management for implementation of new functionality including outlining projected tasks, assignments, due dates, dependencies, accomplishments and anticipated needs.
  • Oversee the processing functions of the financial aid office to ensure timeliness of file completion, awarding and disbursing of student financial aid are met. Ensure system supported processes are in compliance with all federal, state, institutional and private aid guidelines are being followed.
35% of Time the Associate Director of Systems and Production:
  • Oversees annual functional set-up and audit controls that support: document tracking, needs analysis, budget formulas, external award load, electronic notifications, federal, state, and institutional aid processing, item type management, aid disbursement as well as reporting and research.
  • Hire, train, direct, mentor and motivate staff in daily work and on projects and complete annual evaluations. Ensure ongoing training and cross training, development and growth of staff by providing learning opportunities.
  • Coordinates to identify and implement strategies to increase efficiencies in the daily operations and provide configuration expertise for the implementation of new functionality.
5% of Time the Associate Director of Systems and Production must perform other duties as assigned.
Knowledge, Skills, Abilities:
  • Must have the ability to envision, manage and oversee implementation of state-of-the-art software systems and pursue other innovative service enhancements.
  • Demonstrated knowledge of complex student information systems (PeopleSoft preferred) and the ability to implement technological change.
  • Demonstrated analytical skills to define and solve problems as related to office operations and computer systems
  • Excellent oral and written communication skills, ability to present and explain complex technical topics, problems, alternative solutions to others.
  • Demonstrated organizational skills and abilities to manage multiple tasks and timelines
  • Demonstrated student-centered philosophy and commitment to the principles and practices of customer service.
  • Ability to provide technical training to non-technical users.
  • Excellent staff and project management skills and demonstrated commitment to working in a team environment.
  • Query/SQL writing, technical or higher education background.
  • Knowledge and/or experience in business process designs and reengineering.
  • Demonstrated experience utilizing critical thinking skills to proactively solve or mitigate problems, including anticipating issues, identifying solutions, and providing appropriate communication to impacted parties.
  • Experience managing change through a structured approach to ensure changes are thoroughly and smoothly implemented and that the lasting efficiencies and advantages of the change are achieved through strategies of facilitation, engagement, project management, business process improvement, and communication.
Minimum
Qualifications:
Bachelor's Degree and 5 years of professional experience or equivalent relevant experience, including 1 year of managerial experience.


Preferred Qualifications:

  • Degree in Computer Information Systems, Information Technology Management, or Computer Science.
  • 6 years of professional experience or equivalent relevant experience, including 2 years managerial experience in a similar type of work.
