The HR Project Manager provides the overall planning, coordination, reporting and task management for assigned projects within HR's project portfolio. This position is responsible for applying PMI methodologies to support staff and contract resources in achieving goals and schedules. The individual shall ensure that there is good coordination between all stakeholders, that project teams and members are engaged, and that recommendations are made to HR Leadership for the resolution of any obstacles impacting assigned project goals. Although this role reports to the Chief HR Officer and does not have any direct reports, this position will support HR-wide initiatives and operate within a project-oriented, matrix organization environment. The incumbent must have the initiative, skills and experience to take the lead of an active project portfolio and work with minimal supervision.
Key Responsibilities
Project & Logistics Management
o Defines and documents the project scope and goals in collaboration with HR organizational managers.
o Creates a detailed work plan which identifies and sequences the activities needed to successfully complete a project.
o Determines the resources (time, money, equipment, etc.) required to complete projects
o Develops schedules that effectively allocate available resources to assigned activities.
o Works with volunteers, staff and contracted resources to ensure that requirements and deliveries are generated in support of project initiatives.
o Initiates outreach to potential partners and provides research of new opportunities and potential program partners.
o Manage day to day logistics and activities of projects in accordance with IEEE policies & procedures.
o Manage any assigned contractors or vendors and their performance to ensure contractual obligations and deadlines are met. Negotiate contractual work requirements and manage vendor agreements.
Project Tracking and Reporting
o Performs analysis and forecasting of project deliverables and finances.
o Generates reports on project and portfolio project status.
o Monitors approved budget expenditures, and reports actual / variance on a regular basis (monthly/ bimonthly).
o Manages all project funds according to established accounting policies and procedures.
o Prepares financial reports and supporting documentation for funders and partners as outlined in funding agreements.
o Determines and implements approved measures upon which the project will be evaluated.
o Develops & implements a communications strategy for assigned projects & programs.
Provides direction and support as well as contribute to written materials positively positioning the organization and its programs, including the website and social media outlets when necessary.
Develops and monitors performance metrics for various communications strategies and vehicles.
Establishes a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
o Sets up files to ensure that all project information is appropriately documented and secured.
o Reviews the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards.

Skills and Requirements
Strong skills in working with spreadsheet analysis & databases, and Project Management Software (i.e. MS Project)
Proficiency with Microsoft Office Suite applications.
Ability to understand complex verbal and written user business requirements and translate those into well-written clear proposals, requirements and specifications documents & project plans.
Ability to multi-task and be comfortable working under tight deadlines on both individual and team-based projects.
Available for occasional travel to events and meetings. Estimate 2-5 times per year.
The individual must have excellent communication and motivational skills which will be used to enable and empower project participant efforts in support of assigned projects.
