Join our dynamic and innovative marketing, communications, print and mail services team as the Production Manager. Reporting to the Associate Director, the Production Manager is at the hub of coordination and execution for each Marketing Services project and is critical for the college's positive image. All of Alfred State's image, persona, voice, attributes, accolades, and other outcomes for marketing, communications, and public relations strategies must be actualized through the daily work and knowledge possessed by the person holding this position.

The Production Manager, is responsible for overseeing and organizing the production process of marketing initiatives, campaigns, materials and printing operations. This role involves coordinating with various teams, monitoring budgets, ensuring quality control, and meeting deadlines. The Manager will work closely with the marketing, design, content and print teams to produce high-quality marketing assets that align with the College's branding and strategic goals.

You will collaborate and communicate with on and off campus clients, suppliers, and internal teams to develop and execute high-quality marketing deliverables, creative collateral and promotional efforts.

Primary Responsibilities:

Project Management:

  • Manage the production process for all marketing materials and collateral, including print, digital, video, and social media content.
  • Develop and manage production schedules to ensure timely delivery of marketing assets, publications and mailings.
  • Coordinate with internal teams and external vendors to streamline production workflows.
  • Identify and build workflow efficiencies to ensure timely delivery and conserve both human and capital resources.
  • Ensure admissions and enrollment publications and materials are produced and delivered in accordance with recruitment cycle timelines.

Quality Control:

  • Ensure all marketing materials meet the College's quality standards and brand guidelines.
  • Implement and maintain quality control procedures to ensure the highest standards of printed materials.
  • Conduct thorough reviews and approvals of marketing assets at various stages of production.
  • Troubleshoot production issues and implement solutions to maintain quality.
  • Inspect printed materials for accuracy, color consistency, and overall quality.
  • Address any quality issues promptly and effectively

Budget Management:

  • Manage production budgets, including cost estimation, tracking, and reporting.
  • Negotiate with vendors and suppliers to secure cost-effective solutions without compromising quality.
  • Monitor expenses to ensure projects stay within budget constraints.

Vendor Coordination:

  • Source, select, and manage relationships with external vendors, including printers, video production companies, and other service providers.
  • Ensure vendors meet delivery timelines and quality expectations.

Collaboration:

  • Work closely with the marketing team to understand project objectives and requirements.
  • Collaborate with designers, content creators, and other stakeholders to ensure cohesive and effective marketing materials.
  • Provide regular updates to the marketing team on production status and any potential issues.

Process Improvement:

  • Continuously evaluate and improve production processes to enhance efficiency and effectiveness.
  • Implement best practices and innovative solutions to optimize production workflows.
  • Stay updated on industry trends and advancements in production technology.

Production Process:

  • Coordinate with stakeholders to better define scope, content, and timeline; approve jobs; assign each job to its next step
  • Manage the printing process from job initiation to final delivery.
  • Schedule and prioritize print jobs to meet client deadlines and ensure efficient workflow.
  • Monitor the production process to ensure adherence to specifications and quality standards.

Client Coordination:

  • Work closely with clients to understand their printing needs and provide expert advice on print options and materials.
  • Ensure clear and effective communication with clients throughout the production process.
  • Address any client concerns or issues promptly and professionally.

Miscellaneous:

  • Protect marketing strategy as a voting member and influencer on multiple campus-wide committees.
  • Assist in printing and mail center duties as part of the Print and Mail Services team.
  • Fulfills other duties as they may be assigned and needed for successful operations.

Job Requirements:

Minimum education, skills, and abilities:

Experience managing projects and collaborating within a complex organization in a congenial manner with a service-oriented mindset. An ability to execute strategic goals with clarity regarding objectives, strategies, and operational tactics to keep projects on the correct path and meet deadlines.

  • Associate's degree in Marketing, Business Administration, Communications, or a related field.
  • 5 years of experience in production or project management, preferably within a marketing, advertising or higher education environment.
  • Strong project management skills with a proven track record of managing multiple projects simultaneously.
  • Excellent organizational and time management abilities.
  • Excellence in proofreading for spelling, grammar, punctuation, and style.
  • Negotiation and vendor management experience.
  • Attention to detail and a commitment to quality.
  • Proficient in project management software and tools.

Preferred education, skills, and abilities:

  • Bachelor's degree in Marketing, Business Administration, Communications, or a related field plus 2 years of experience in production or project management, preferably within a marketing, advertising or higher education environment.
  • Experience in digital marketing and production.
  • Knowledge of graphic design and video production processes.
  • Familiarity with Adobe Creative Suite or other design software.
  • Knowledge of printing processes, equipment, and materials.
  • Knowledge of SUNY and Alfred State.
