Overview

The Administrative Coordinator provides executive-level administrative support to the University Data Officer and manages the day-to-day operations of the University Data Office, including responsibilities for scheduling, communications, correspondence, event planning, logistics, and meeting support to facilitate the achievement of the University Data Office's strategic priorities.

Responsibilities

  • Provide administrative and project-specific support to facilitate the University Data Officer's work and management responsibilities, as well as support for senior leaders on the team.
  • Manage the UDO's calendar including scheduling and organization of appointments with cabinet officers, senior administrators, faculty, and other constituents. Also handle coordination and scheduling for the Data Strategy Executive Council, and numerous committees and working groups.
  • Draft correspondence and assist with email. Compile and distribute materials in advance of and following meetings, including coordinating follow-up actions. Assist in the preparation of presentations that effectively communicate key messages.
  • Develop travel itineraries including travel arrangements, accommodations, support documentation and reimbursements.
  • Maintain a strong understanding of the UDO organization, strategy, initiatives, and operations; keep abreast of major projects that affect the University community.
  • Represent the UDO to both internal and external constituents.
  • Compile information and content for inclusion in proposals, strategic documents, and reports.
  • Independently plan and execute data-related campaign and outreach events including budgets, space reservations, speaker coordination, travel, catering, advertising, and technology set-up.
  • Support strategic initiatives and undertake special projects at the direction of the UDO.
  • Manage email lists, chat apps, and other methods for update and open communication that support a culture of transparency across the UDO.
  • Manage content on the UDO website, ensuring it is up to date, relevant, and organized.
  • Manage the UDO Teams and other collaborative sites and document repositories including managing user permissions, organizing and updating folder structures, and resolving issues.


Qualifications

  • Bachelor’s degree or equivalent experience
  • 5 to 8 years of experience in supporting executive-level management
  • Superior organizational and administrative skills, with excellent attention to detail
  • Ability to set priorities and manage time effectively; demonstrated success handling competing priorities
  • Excellent interpersonal skills, with a strong service orientation; ability to deal articulately with a diverse range of people and develop trusted relationships with administrative support staff across the institution
  • Excellent computer skills including advanced proficiency using e-mail and calendaring (Outlook), web browsers and the Microsoft Office Suite of applications including PowerPoint and Excel
  • Exceptional written and oral communication skills including active listening and translation skills
  • Ability to maintain a high level of professionalism, discretion and business etiquette; maintain professional standards in handling sensitive and/or confidential information
  • Excellent judgment; demonstrated ability to take initiative informed by direction and internalized understanding of the office and its mission
  • Ability to deal professionally and communicate effectively with all members of the university community as well as external constituents
  • Ability to function effectively in a team environment and to serve as a visible, positive role model
  • Strong analytical and problem-solving skills

Preferred Qualifications

  • Relevant experience working in higher education
  • Experience managing Teams and SharePoint sites
  • Experience developing and managing website content
