Job Title:Senior Academic Program Services Specialist, Master's ProgramDepartment:Engineering | Computer Science and Engineering

The Department of Computer Science and Engineering (CSE) aims to train the next generation of computing professionals desirous of gaining education and training in computing through offering BSCSE, MSCSE, and Ph.D. degrees. The Academic Program Services Specialist 3 (Senior Academic Program Services Specialist, Master's Program) manages and oversees all aspects of admissions and recruiting, administrative, programmatic, and operational activities of students pursuing a Master's degree in CSE within the College of Engineering.



The Senior Academic Program Services Specialist, Master's Program works closely with the Graduate Studies, Graduate Admissions and Department Chairs of CSE, the Assistant Director of Academic Programs and Student Services (ADAPSS), Academic Program Coordinator, Doctoral Programs and other office staff members. Serves as liaison to Graduate School, Graduate Admissions, Office of International Affairs, College of Engineering Graduate Education, faculty advisors, CSE graduate program applicants and current graduate students.





  • Program Administration: Develops and implements procedures to enhance efficiency in fulfilling the CSE graduate program's academic mission; Serves as graduate statistical resource regarding graduate student matters. provides timely and professional responses; coordinates, compiles and disseminates graduate statistics and reports; works with department's public relation coordinator and ADAPSS on developing brochures; collects and maintains post-graduation student employment information; maintains accurate student records and academic files, including shared files with ADAPSS; provides general administrative support to graduate programs; addresses department and faculty concerns; attends Graduate School, College of Engineering graduate program coordinators and department staff meetings; transmits decisions and directives made by Grad Studies Committee (or Chair) and Grad Admissions Committee (or Chair); researches and responds to inquiries, referring them to Grad Studies or Admissions Chair as appropriate; oversees all aspects of the undergraduate grader assignments; coordinates departmental orientation with university programs; manages graduate e-mail inbox; serves as back up for Academic Program Coordinator, Doctoral Programs and the Assistant Director of Academic Programs and Student Services as needed; special projects as assigned by Associate Chair.




  • Graduate Student Support and Advising: serves current MS program students throughout their academic career; works together with ADAPSS to orient and advise new graduate students on graduate program policies and procedures; ensures graduate student compliance with CSE graduate program, Graduate School and university policies; ensures all required paperwork is submitted for each process (comprehensive exam graduation, etc.) in accordance with graduate program policies (as informed by Grad Studies Chair), Graduate School, and university policies; recommends contacts with specific faculty based on student background and advising needs; works with ADAPSS to advise enrolled MS students on degree requirements and graduate program policies; processes reactivation of enrollment working with Grad Studies Chair and ADAPSS; processes MS graduation applications, and closely coordinates the process with Grad Studies Chair and ADAPSS; coordinates and proctors comprehensive exams and exam committee meetings, composes and issues results correspondence; composes and issues result correspondence; provides input to grad studies committee policy decision making; assists ADAPSS in planning and managing graduate student activities; manages and updates information in CSE Portal, University Student Information System (SIS), Grad Forms and other database and spreadsheets as appropriate, working with ADAPSS; evaluates students situation and refers them, as needed, to ADAPSS, Grad Studies Chair, faculty, and/or the Graduate School or other university offices or services; updates web-based information as it pertains to the graduate program; processes applications for the CSE graduate program;




  • Graduate Admissions and Recruiting: works with the Graduate Admissions Chair and committee during the review process; coordinates admission process for new and transfer Master's graduate students; counsels applicants on admission procedures and application status based on policies informed by department's Grad Admissions Chair; maintains and monitors admissions process using CSE Portal, EDWARD, SIS and Grad Fellowship database as it pertains to Master's graduate students; posts Master's admissions decisions in SIS and EDWARD; serves as initial contact for prospective Master's students, informs them of policies set by Grad Admissions Committee (Chair); meets with prospective graduate students, explains the admissions process and program; oversees and assists faculty with graduate student visitation/events; directs and coordinates Graduate Student Orientation.



  • works together with undergraduate advising office on informing department's undergrads about the BS/MS program and its requirements, corresponds with BS/MS (prospective) applicants, and collects and prepares application material for evaluation by Grad Admissions Chair.





Qualifications



Required: Bachelor's degree in business administration, higher education, or related field of study or equivalent combination of education and experience. 4 years of experience working in a student or advising capacity. Excellent oral and written communication skills. Ability to work with faculty, staff, students, and external organizations of diverse academic, socioeconomic, cultural, and ethnic backgrounds




Desired Experience: Master's degree in business administration, higher education, or related field of study or equivalent combination of education and experience. 5+ years' experience working with graduate or professional students.

Additional Information:

The target hiring range for this job profile is $51,000 - $67,000. The actual salary paid to an individual will vary based on multiple factors, including but not limit to, education, years of experience, internal equity, etc.
