Position Summary:

The Conference and Events Manager independently plans, schedules, and coordinates conferences and special events, and provides consulting and direction to others planning events throughout the college. This position serves as the primary liaison with internal units and external constituents, providing organizational leadership in developing, implementing and overseeing conferences, workshops, events, and public functions. Builds in-person experiences to engage the community, alumni, donors, students and prospective students to support strategic goals of the college.Minimum Qualifications:

Bachelor's degree required with at least five years of professional event planning experience. Excellent communication skills. Proven ability to successfully work with individuals and groups. Team player. Self-starter.

  • Serve as lead on all college-wide events and in-person announcements/celebrations. Supervise, manage, organize and execute events and in-person outreach experiences to increase college engagement with students, alumni, donors and the business community and advance the college's strategic plan objectives in building relationships with key audiences and the business community. This includes developing event plans and budgets, securing vendors and negotiating pricing, developing run of show and leadership event brief documents, ordering catering, making arrangements for all logistics.

  • Manage key recurring event programs and series that promote student success, business/community and alumni engagement, diversity, and/or global engagement related to the USF Muma College of Business mission. Develop and activate event strategies for Conversation with a CEO series, annual State of the Region community events, Academia Meets Practice (AMP) conference, Thought Leader Series and Homecoming. Develop tours/experiences in conjunction with the Muma College of Business Executive Advisory Council, Alumni Advisory Council, Executive Bulls, and other key leadership groups.

  • Manage Eventbrite platform, measure/document event effectiveness, and work with colleagues to create and distribute invitations, track RSVPs and send pre/post-event communications to attendees. Serve as content lead on college event web calendar, including requesting new functionality and approving access and training for colleagues in other areas of the college. Oversee and manage student assistant to handle administrative details such as name tags, flyers, brochures and other event-related promotional and support material.

  • Consult with schools/centers/units on event strategy and plans, including providing vendor recommendations, checklists or training for directors, event planners and office managers on handling logistics. Recruit, coordinate and direct volunteers for events, and collaborate with event management/planning faculty to offer volunteer opportunities that provide experiential education for students. Approve access/training for Atrium video wall usage for events not managed by Muma communications/marketing team.

  • Work with college fiscal team to plan event budgets and suggest sponsorship levels and benefits for financial support of events. Obtain fiscal approvals, vendor estimates, and track and forward invoices and backup materials for payment.
