As an Administrative Assistant, you will be responsible for a variety of duties including administrative office support, onboarding, purchasing support, clerical level accounting, and front desk coverage.
Administrative Support:
Order business cards, stationery, and forms. Maintain office supplies.
Reserve conference rooms and order lunches as requested.
Coordinate janitorial services, carpet and window cleaning, pest control, vending and coffee machines as requested.
Allocate purchasing card charges for region.
Ensure accurate completion of new hire paperwork and onboarding employee.
Assist with employee offboarding
Coordinate Certificates of Insurance requests.
Serve as back-up for Dispatch position as needed
Organization Support:
Purchasing Support: Assist with purchasing as needed: issue purchase orders, process credits and returns.
Assist with credit applications, working with the purchasing department
Assist with incoming mail, separate and date checks received
Receptionist/Front Desk:
Answer incoming calls, forward calls, take messages, and notify employees that visitors have arrived, when needed.
Prepare packages for Federal Express and courier deliveries. Receive packages and letters as required. Sign for parcels when necessary and notify employee of delivery.

Prior experience providing HR, accounting, or customer service support in a professional environment
Proficient in Microsoft Office
Advanced typing skills
Must be able to write clear, professional emails, and communicate effectively with field personnel, subcontractors, owners and others
Ability to efficiently complete tasks and projects while incurring interruptions
Strong time management and organizational skills
