Job Summary
Mission Advisor is responsible for facilitating the operational success of all mission-related activities by collecting flight details, determining aviation requirements, and updating customers by applying exceptional customer service skills. Mission Advisors ensure services are professionally arranged in a timely manner in accordance with all applicable policies, procedures, regulations, and client preferences by collaborating closely with international vendors and suppliers, internal team members, and other global departments or agencies. Mission Advisors coordinate directly with Universal’s customers on all aspects of their aviation and operational needs; capture these needs and develops them into a functioning plan to determine feasibility and facilitate requirements.
Essential Duties and Responsibilities
Communicate directly with clients to process new trip write-ups and revisions (basic and complex) under minimal supervision.
Provide clients with current and accurate information during all aspects of the trip load process.
Disseminate initial production service requests to vendors and other service providers as documented in the trip write-up process and indicated in proprietary mission support system.
Communicate directly with vendors and service providers to complete service confirmations for requested products and services as documented in the trip write-up process and indicated in proprietary mission support system.
Review inbound messages from clients and respond to requests and assign appropriately in proprietary mission support system.
Collaborate with other Universal departments for internal product and service requirements to include, but not limited to flight plans, weather, crew accommodations, and regulatory services.
Monitor Mission Support System to ensure all details are completed and all services are acknowledged and confirmed in a timely and efficient method according to client preferences, required lead times, curfews, operating hours, and other time driven factors.
Conduct trip reviews, check messages and requests before transmission, and thoroughly review all activities to ensure highest levels of accuracy.
Complete other duties and projects as assigned.
Qualifications and Requirements
Some college or equivalent military experience preferred.
FAA Dispatcher License or Air Traffic Control certification a plus.
Minimum of three (03) years of work experience; experience working in the aviation industry and/or scheduler dispatcher in a flight department a plus.
Must possess stellar customer service skills with the ability to confidently speak to internal and external customers at all levels.
Must be detail-oriented with ability to apply strong attention to detail.
Must be proficient and capable of working in a computerized office environment including:
Knowledge and skill in the Microsoft Suite including Word, PowerPoint, and Outlook.
Demonstrated keyboarding skills.
Must have proficiency in conducting research through a variety of resources to quickly find and interpret information in a timely and efficient manner to make critical decisions.
Must demonstrate determination and initiative and have desire to continuously learn new tasks and requirements.
Able to apply basic math skills to accurately calculate flight schedules.
General knowledge of geography and the ability to determine how it relates to travel.
Other Information
Open floor plan with cubicles in a team-based call center environment.
May have the opportunity to work a hybrid schedule after successfully completing all training and certification requirements.
Rotating shifts in a 24/7/365 days a year environment. The Operations Division is never closed.
Domestic travel (≤ 10%) may be required.
