The Licensing Compliance Specialist is responsible for state licensing and compliance for the organization. Key activities include ensuring compliance with regulatory requirements, coordinating license applications and renewals, and providing support for audits and inspections. This role requires a strong understanding of state licensing processes and regulatory compliance and the ability to effectively manage multiple projects simultaneously.
Ideal candidates are proactive, highly organized and has exceptional research skills. Core Duties Include:
State Licensing Management : Responsible for preparing, submitting, and maintaining state licenses and ensuring accuracy and compliance with regulatory deadlines. Acting as a liaison with state regulatory agencies to address inquiries and ensure timely processing. Additionally, maintaining Company-wide listing of active state, local and other licenses to include renewal requirements.
Regulatory Compliance : Monitor changes in state licensing regulations and advise internal stakeholders on necessary adjustments. Build and maintain a comprehensive database and expertise of federal, state, and local regulatory requirements relevant to the industry.
Research: Conduct research of local, state and federal statutes and regulations and summarize licensing for General Counsel and affected management
Documentation & Recordkeeping : Accountable for maintaining, managing and updating licensing records, ensuring all documentation is current and easily accessible. Prepare compliance reports for internal and external stakeholders as required. Provide reports and metrics on licensing and compliance
Audit Support : Collaborating with legal and compliance teams to ensure readiness for state regulatory audits and inspections. Responsible for timely responding to regulatory inquiries and providing requested documentation promptly.
Cross-functional collaboration : Work closely with operations, legal, and compliance teams to ensure alignment with organizational policies. Provide training and guidance on state licensing requirements to relevant internal teams.
Communication: Regularly and proactively engage across the Company regarding licensing and renewals; set schedules to engage operational leaders to ensure on-time renewals and responses. Engage and actively communicate with relevant stakeholders during application, pending state, and/or renewal processes.
Problem-Solving: Engage in managing and resolving issues in the licensing process.

MINIMUM QUALIFICATIONS AT ENTRY

Basic Qualifications
US Citizenship preferred
At least 18 years of age
Education/Experience
Bachelor's degree in business administration, Law, Compliance, or a related field (or equivalent work experience)
At least two (2) to five (5) years of experience in compliance, state licensing, or a related field
Experience managing multi-state licensing operations is highly preferred
Background Prerequisites
Must undergo and meet company standards for background and reference checks, controlled substance testing, and behavioral selection survey, in addition to any mandatory licensing requirements
