Duration: Contract (12+ Months with Multiple Extensions)
About the Role:
The client is seeking a detail-oriented, organized professional with the capacity to work independently while contributing to the team's success. This is a junior-level administrative role with high-visibility. The last three Project Coordinators were promoted within the project. The Client prefers candidates with prior W2 contract experience, or those open to a long-term, stable contract which renews yearly, pending mutual interest.
Responsibilities:
Must be a self-starter, possess both critical-thinking and analytical skills and able to multi-task.
Provide administrative support to ensure the efficient operations of the HIX Project.
Recent and/or prior experience as a W2 contractor with a client or agency.
Create PowerPoint presentations with precision and attention to detail.
Coordinate meetings between the HIX Executive Leadership Team (XLT) and business partners.
Maintain accurate meeting attendee lists, meeting dates and calendar invites.
Demonstrated ability to work independently and thrive in a remote work environment.
Collaborate with technical and non-technical personnel (vendors, staff, etc.) to resolve issues in a timely basis, with guidance from the Supervisor.
Document and maintain records of weekly meeting minutes and action items. Distribute minutes in a timely manner and upload documents after approval.
Strong analytical, interpersonal, and written/verbal communication skills.
Provide calendar management to XLT as requested.
Maintain a positive approach and the ability to remain calm under pressure
Ability to work efficiently as an individual contributor.
Develop effective relationships with key stakeholders and understand their needs and expectations
Maintain HIX Distribution Lists and meeting invite lists.
Enter Facilities and IT Helpdesk tickets and follow up until completion.
Crosstrain and serve as backup to HR/administrative team members as needed.
Proactively reach out to Supervisor to seek additional work and add value to the project.
Adhere to all the Secretariat's, client IT's, and relevant Management policies, procedures, and standards.
Other responsibilities as assigned.
Preferred Qualifications:
Bachelor's degree or equivalent.
Minimum of (3) three years of administrative experience, and up to (3) three years of project coordination experience.
Proficiency with MS Office applications including Outlook, Word, Excel, PowerPoint.
Ability to multi-task and adjust to changing priorities in a fast-paced environment.
Ability to follow verbal and written instructions and ask questions whenever needed.
Excellent interpersonal skills required to interact effectively with the team and key stakeholders
Capable of meeting tight deadlines and resolving issues while remaining calm under pressure.
Provide relevant administrative services within cross-functional teams.
Ability to maintain accurate records and files.
Comfortable speaking during team meetings as needed.
Knowledge of OneDrive, SharePoint, MS Project, Visio, JIRA, Adobe a plus.
Team player with a positive attitude and good sense of humor.
