Overview

EagleView, the leader in aerial imagery, is seeking a detail-oriented and experienced Payroll Administrator to oversee payroll processing and tax administration for our U.S. and Canadian employees. This role will ensure accurate and compliant payroll operations, support tax filings across multiple jurisdictions, and assist with payroll-related HR processes as needed. The ideal candidate will have strong payroll expertise, experience with ADP systems, and knowledge of employment tax regulations.


Responsibilities

Payroll Administration:
• Accurately prepare, document, distribute, and reconcile weekly and biweekly payroll for U.S. and Canada employees.
• Administer payroll processes within ADP and Safeguard Pay, ensuring accuracy and compliance with company policies and applicable regulations.
• Partner with ADP Comprehensive Services to initiate payroll, configure system settings, and resolve payroll system issues, including time off and timecard discrepancies.
• Assist in payroll-related training, process improvements, and special projects to enhance accuracy, efficiency, and employee experience.
• Input, validate, and audit payroll data, including manual entries and Excel file imports.
• Maintain employee payroll records, including direct deposit details, tax withholding forms, and benefit deductions.
• Serve as a subject matter expert, addressing and resolving payroll-related inquiries in a timely manner.
• Process payroll deductions such as wage garnishments, tax levies, and child support orders.
• Support internal and external audits by providing necessary payroll documentation and reports.


Tax Administration:
• Oversee the setup of new tax jurisdictions and manage ADP Smart Compliance to ensure timely and accurate tax filings in partnership with ADP Comprehensive Services
• Collaborate with external tax agencies to address payroll tax discrepancies and issues.
• Ensure compliance with federal, state, and provincial payroll tax regulations.
• Assist in year-end payroll tax reporting, including the preparation of W-2s, T4s, and other compliance documents.
• Monitor tax law changes and update payroll processes accordingly to maintain compliance.


HR Operations Support:
• Provide back-up support for the HR mailbox, employee onboarding, offboarding, and benefits.
• Assist with various special projects.


Qualifications

• Associate or bachelor’s degree preferred, or equivalent combination of education and experience.
• Minimum of 2 years of payroll experience, including payroll tax administration.
• Advanced expertise in payroll systems, with hands-on experience in payroll processing and troubleshooting.
• Experience managing payroll deductions, and garnishments.
• Strong attention to detail and organizational skills, with the ability to manage multiple priorities.
• Excellent communication skills and ability to collaborate effectively across departments.

Preferred:
• 3+ years of experience in payroll processing and tax administration.
• Comprehensive knowledge of ADP for payroll management.
• Strong understanding of multi-state and multi-province payroll tax laws and compliance.

This is a full-time, hybrid position in our Rochester, NY office with a compensation range of $26.35 - $36.30 per hour.
