Under the direction of the Facilities Manager, the Facilities Analyst is responsible for overseeing the coordinating, processing and oversight of facility preventative maintenance for fire protection, fire alarms, fire extinguishers, electrical, HVAC, meter and device calibrations, assisting contractors, executing small facility projects, administration of lease and utility invoices. Advanced knowledge and use of SAP is essential.
The Facilities Analyst is an extremely well-organized, flexible, self-motivated individual who enjoys the opportunities of supporting our Wisconsin Operations facilities. You must have the ability to multi-task and interact well with staff at all levels while remaining positive, flexible, proactive, resourceful, and efficient with a high level of professionalism.
Excellent written and verbal communication skills, the ability to work independently with little to no supervision, strong decision-making abilities, and attention to detail are critically important. We are looking for someone who has a friendly disposition and a can-do attitude with a passion for the outdoors.
Specific Responsibilities
Manages all facilities Preventative Maintenance tasks from coordinating with contractors, issuing PO's, invoicing and record keeping.
Managing and creating building, equipment and device maintenance schedules in SAP.
Creates blanket Purchase Order requisitions and manages all related invoicing and accounts payable.
Coding lease and utility invoices and submitting for payment. Ensuring payments are processed on time.
Process vendor invoices, and purchase card statements; the maintenance of all information, files, records, service requests, quotes, proposals, and other documents about site locations, vendors, service providers, and landlords, including but not limited to Certificate of Insurance (COI), and preparation of contract documents.
Conduct and coordinate service activities directly impacting the daily functions and process flows governing the maintenance, condition, and operation of the physical office space and employee experience.
Create, assemble, and upload support documents (service requests, quotes, and proposals), properly code and allocate the cost, submit for approval, monitor, and provide status updates when the transaction is complete
Assists with activities that ensure the facility is fully operational with all utilities functioning properly.
Responds to urgent facility maintenance calls and coordinates with contractors.
Assist with scheduling and overseeing maintenance repair work and assist with checking installation and services of the building equipment.
Help ensure compliance with state and federal reporting regulations and assists with energy management.
Assist with research/negotiation of best pricing for purchases required to help upgrade/maintain the facility and equipment with risk analysis and purchase integrity.
Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control.
Facilitate food ordering and delivery for various department meetings and other events.
Ensures that Vendors and Service Providers are active in the vendor management system.
Assists security and emergency preparedness procedures are implemented properly.
Testing building security systems and promoting safety within the building.
Provides Administrative and Business support to the Facilities Director and Manager.
Documenting processes and keeping maintenance records.
Monitoring budget and spending.
Assists in the creation of service contracts.
Coordinates and drafts facility capital projects.
Conducts and documents regular facilities inspections.
Checks completed work by vendors and contractors.
Recommends maintenance, mechanical, electrical, and facility design modifications.
Travel as required, estimated at 1-2 times per year.
Requirements:
Bachelor of Business Administration preferred in Accounting, Finance, Real Estate or Energy with 5+ years of experience
Associates degree will be considered with relevant experience
A minimum of 2 years of experience in facilities, maintenance, project management, or real estate.
Advanced understanding of SAP and proficient in Microsoft Outlook, Word and Excel.
Familiarity with GageTrak, iVu, Condeco, AutoCAD, Synergis Adept a plus.
Experience in facilities management will be advantageous.
Extensive experience in building and equipment maintenance.
Advanced knowledge of maintenance planning and schedules.
In-depth knowledge of state building safety regulations and security protocols.
Demonstrated continuous improvement methods, problem solving and organizational skills.
Excellent verbal and written communication skills.
Ability to lead and work in a team environment.
Ability to lift up to 50lbs and stand for periods of time.
Must have US driver's license and own personal vehicle
Language proficiency in English.
The salary range for this position is $73,400 - $92,500. The specific salary offered to a candidate may be influenced by a variety of factors including the candidate's experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
