Summary:
The Gardens Event Concierge is a part-time hourly position responsible for facilitating scheduled events at the Gardens on Spring Creek, including following event plans, providing excellent customer service to clients and customers, and performing event setup and cleanup duties.
This position will be scheduled from 0 to 29 hours per week based on venue needs, which will fluctuate with the private and public events seasons.

Essential Duties and Responsibilities:


  • Act as the primary point of contact for clients during assigned private events, providing guest services such as greeting guests, responding promptly to client requests, and troubleshooting day-of concerns to ensure a positive client experience.

  • Assist with event operations during public events, including duties such as customer service, vendor coordination, volunteer management, setup and breakdown, and similar duties.

  • Prepare and provide in-house hospitality service for events, which may include coffee, tea, other nonalcoholic beverages, and prepared food items such as cookies, boxed lunches, and snacks.

  • Assist with venue tidying and setup of event equipment as needed, including wiping down tables, sweeping, setting up tables, chairs, linens, signs, AV, waste bins, and other equipment, working according to diagrams and written or verbal instruction.

  • At the conclusion of an event, assist with break down, ensure venue is clear of trash or debris, and record and report damages or issues.

  • Scheduled to work a variety of shifts, including primarily evenings and weekends in addition to weekdays and some holidays.

  • Perform work without direct supervision in a fast-paced environment with ability to identify & prioritize daily duties and unexpected challenges.

  • Demonstrate a strong capability to relate to a diverse set of team members and clients while providing consistent world-class customer service.

  • Ability to setup and troubleshoot basic speaker/microphone, ticket scanner, or screen-share equipment following provided instructions, ensuring functionality and readiness for events.

  • Respond as needed during emergency situations, including coordinating with first responders and other facility staff.

  • May assist with other event-related projects and offsite events as assigned.

Supervisory Responsibilities: This position is not responsible for the supervision of employees.

Education and Experience:

  • At least two years of increasingly responsible event and customer service experience or an equivalent combination of education and experience.

Physical Demands:
While performing the duties of this job, the employee is regularly required to walk; sit; use hands to finger, handle, or feel; and talk or hear. The employee must be able to lift 50lbs. and push/pull up to 150lbs. as needed. The employee is occasionally required to stand; reach with hands and arms; climb or balance at a height up to 20ft.; and stoop, kneel, crouch, or crawl.

  • Walking long distances both indoors and outdoors

  • Physical/Labor intensive work including movement for up to 8 hours at a time

  • Manual dexterity enough to operate cleaning equipment and tools including ability to continually walk and frequently, bend, twist, kneel, stoop, reach, pull and push

  • Strength and stamina enough to set/strike event equipment, operate cleaning equipment, move objects up to 50 pounds and bend, twist, stoop and reach above head in the performance of event setup duties. Push wheeled items up to 150 lbs.

  • Vision enough to read diagrams and maps, signs, operate event equipment.

  • Make continuous or repetitive arm-hand movements including tasks requiring a full range of motion to reach up and out

  • Communication skills enough to provide customer service, interpret work schedules, job duties and convey information to members of the public and supervisor

Work Environment:
The facility has a dynamic and changing event and activity schedule. Employee will be asked to work variable hours including early morning, afternoon, evening, late-night shifts, both during the week, weekends, and some holidays. Shifts will primarily be outdoors in all seasons and weather conditions which may include rain, snow, and extreme hot and cold temperatures. Employees will be asked to work alone or as an unsupervised team. The noise level in the work environment is usually moderate.
